Position Purpose

This position will provide various administrative and clerical support to the Human Resources department, assisting in the administration of employee benefits programs, processing enrollments, answering employee inquiries, and maintaining accurate records while supporting the HR department's overall operations. This position is the point person for all workers' compensation calls and emails, and as a result, documentation and communication regarding employee work status must be clear, concise, and immediate. The position must also provide excellent customer service.

Essential Job Functions
  • Assists Benefits Specialist with data entry, form letters, invoicing, and retiree payment follow-up.
  • Checks data for accuracy in FMS, Steele, and Frontline software systems for cross-checking data and recording errors and makes appropriate corrections, if needed.
  • Compares data with source documents or re-enters data in verification format to detect errors.
  • Initial point of contact for all workers' compensation injuries with employees, Paradigm, Concentra, and JWF.
  • Records all injuries on an internal department spreadsheet, and follows all injuries for follow-up care and appointments. Communicates with supervisors if there are any questions regarding return to work or safety issues as a result of the injury.
  • Works with senior HR Generalist to determine restrictions and limitations when an injury requires accommodation.
  • Responsible for annual OSHA posting and any required reporting compilation.
  • Responsible for billing and invoicing the department budget for the Director's signature.
  • Verifies the accuracy of transactional data.
  • Files, scans, and mails benefit information for employees and retirees and responds to general information requests.
  • Scans documents for files and saves completed documents in appropriate file locations.
  • Backs up HR Benefits Specialist for vacation and breaks to ensure employees have a resource for benefit inquiries.
  • Assists with responding to benefit inquiries from district staff members
  • Assists with open enrollment by answering inquiries and reviewing completed forms for accuracy.
  • Reviews and reconciles all HSA account information to ensure accounts are set up promptly and the vendor has employees classified correctly.
  • Backs up PTEC secretary for vacation and lunch breaks when requested.
  • Assists HR team members with special projects that may involve data entry, cross-checking, and document review.
  • Runs various reports upon request.
  • Assists with walk-ins.
  • Maintains HR documents electronically and in the HR office.
  • Performs other duties as assigned.

Travel Requirements:
May travel to various school buildings to assist staff with software assistance.

Pay Rate
$19.77 per hour.

Work Schedule
8 hours per day
260 days per year.

Knowledge, Skills and Abilities
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology.
  • Proficient in Excel and ability to use functions such as V-Lookup to compare spreadsheet data.
  • Knowledge of principles for providing excellent customer service. Foster and maintain positive working relationships with staff and other personnel.
  • Knowledge of human resource practices preferred.
  • Excellent computer skills (Google and Microsoft Office Suite)
  • Attention to detail and accuracy.
  • Ability to communicate with diverse populations.
  • Ability to multitask and work independently and as part of a team.
  • Must maintain confidentiality of personnel and medical information
  • General knowledge of employment and labor law is a plus.
  • Ability to interpret policies and procedures.

Education
  • High school diploma or equivalent
Experience
  • Prefer experience in an office setting. Scanning information to include in the corresponding section of the personnel file requires demonstrated attention to detail.
  • Understanding of spreadsheet and database software systems to interpret data for data entry and validating information.
  • Prior work experience in HR or payroll preferred with data entry and spreadsheet experience.
