Position Overview
Ultimate Staffing Services is seeking a dedicated and experienced HR Assistant to join a dynamic team in California. This role requires a proactive individual who will provide essential HR and administrative support, ensuring seamless communication and efficient HR operations. The HR Assistant will coordinate various HR activities, manage onboarding processes, and maintain high standards of confidentiality while fostering a positive employee experience.
Responsibilities
Summary: Under direct supervision, the Human Resources Assistant will provide overall HR and administrative support to the HR department. Responsibilities include coordinating recruiting activities, managing onboarding processes, and acting as a liaison between HR and employees. The role demands excellent organizational ability, familiarity with HR software, and strong communication skills.
Essential Duties and Responsibilities include the following, with other duties possibly assigned:
- Manage Paycom database of all new hire onboarding paperwork, including data entry, reference checks, E-Verify, background or drug tests, and immigration compliance with I-9 documents.
- Process background checks and handle I-9 processing & E-Verify.
- Administer benefits and assist with open enrollment processes.
- Provide clerical and administrative support to the HR department.
- Assist with the full scope of the hiring process, including posting positions and scheduling interviews.
- Conduct new hire orientations and onboarding.
- Coordinate required trainings for employees and assist with annual open enrollment.
- Handle employee relations, including gathering data and assisting with investigations.
- Assist with all Leaves of Absences and Workers' Comp issues.
- Maintain, with strictest confidentiality, all personnel files and update employee records.
- Create HR forms using ADOBE and enter information into WFN system.
- Assist in payroll preparation by providing relevant data as needed.
- Ensure professionalism and promote an atmosphere of trust and cooperation.
Qualifications
Education and/or Experience: At least 3 years' experience in HR, or proven experience as an HR Assistant or relevant human resources position. HR Certification and at least 2 years of ADP Workforce Now experience are required. Experience with recruitment, SASS, and onboarding modules is desired.
Computer/Software Skills/Knowledge: Familiarity with an HRIS or HRMS, and experience with ADP Workforce Now is required. Intermediate/Advanced knowledge of Adobe Acrobat DC Pro, Adobe Sign, MS Outlook, and MS Office is essential.
Required Work Hours
Monday - Friday, 8:00 AM - 5:00 PM
Benefits
Competitive salary with a pay range of $35 to $45 per hour, based on experience and qualifications.
