About the job HR Administrative Asst. -Japanese Bilingual

We, Japanese IT firm, are seeking a detail-oriented and proactive HR /Administrative Assistant to join our team. This role will focus on payroll processing, benefits administration, employee onboarding, HR compliance, and general office & HR support. The ideal candidate will possess excellent organizational skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently.

Duties

Administrative Support:
  • Manage incoming communications (calls, emails, correspondence).
  • Schedule appointments and coordinate meetings.
  • Proofread and prepare documents.
  • Maintain organized records and databases.
  • Handle office supplies and general clerical duties (filing, data entry)
Payroll Administration:
  • Process bi-weekly payroll, including time/attendance management.
  • Handle new hire/termination payroll processes.
  • Address employee payroll inquiries.
Benefits Administration:
  • Manage benefit enrollments, changes, and renewals.
  • Coordinate with benefit providers.
  • Respond to employee benefit questions.
HR Records and Support:
  • Maintain employee records (personnel, benefits, performance).
  • Assist with onboarding/offboarding procedures.
  • Provide HR policy and benefits information to employees.
  • Handle company phones and business cards.
  • Assist with basic accounting entries and special projects.

Qualifications
  • Associate or bachelor's degree in accounting, Finance, Business Administration, or a related field preferred.
  • 2-3 years of experience in administrative assistant or office support.
  • Proficiency in Microsoft Office.
  • Demonstrates a proactive mindset and a passion for helping others solve problems.
  • Strong organizational and problem-solving skills, with an understanding of basic bookkeeping principles.
  • Ability to manage multiple tasks and prioritize effectively.
  • Bilingual English and Japanese Preferred.
Job Type: Full-time

Pay: $28.50 per hour

Expected hours: 40 per week

Schedule:
  • 9am to 5pm (one hour paid lunch time)
  • Monday to Friday
  • For the first three months, this position is fully on-site. After 3 months, based on the individuals grasp of the position, there will be considerations of a Hybrid schedule consisting of 2 to 3 days in office."
