SUMMARY:

This position supports the Human Resources department by assisting with benefits administration, including enrollment, paperwork processing, FMLA coordination, and serving as a benefits liaison for employees. This role requires knowledge of benefits programs, HRIS systems, and strong communication skills, and the ability to handle confidential information while working in a fast-paced environment.

ESSENTIAL RESPONSIBILITIES included the following: Other duties may be assigned.
  1. Assist employees with benefits enrollment, changes, and inquiries
  2. Process benefits paperwork accurately, any payroll actions related to benefits, and maintain confidential employee files
  3. Collaborate with Benefits Specialist to support employees' access to FMLA and other types of leave when appropriate
  4. Collaborate with Benefits Specialist in processing workers' compensation claims
  5. Support Benefit Specialist and Director of Human Resources with open enrollment processes and prepare related materials
  6. Serve as benefits liaison for employees in accessing the appropriate insurance and benefits processes
  7. Assist Benefits Specialist and the Human Resources team with onboarding of new employees and other benefit-related tasks (i.e. Insurance Open Enrollment, leaves of absence, etc.)
  8. Analyze data and resolve benefits-related issues and discrepancies
  9. Generate benefits reports and analyze data for district planning purposes
  10. Maintain knowledge of current benefits programs and upcoming changes
  11. Collaborate with the Human Resources team and business partners on projects focused on benefits and other Human Resources related tasks.
  12. Ability to analyze data related to Human Resources concepts: benefit statistics and other Human Resources data

  1. Advanced knowledge of office practices, procedures, and equipment
  2. Knowledge of FMLA, ADA, benefits open enrollment, and other areas of employee benefits
  3. Excellent spelling, punctuation, and English grammar skills
  4. Ability to compose correspondence and memorandums
  5. Ability to communicate effectively and sensitively both orally and in writing
  6. Excellent human relations skills to interact with all employees, community stakeholders, business partners, and the public
  7. Skill and knowledge of word processing, spreadsheet, and presentation applications

  9. Ability to work independently, prioritize work to meet schedules and timelines, and maintain composure under pressure and when distractions occur
  10. Ability to exercise judgment in handling information of a highly sensitive and confidential nature with tact, diplomacy, and strict confidentiality
  11. Ability to analyze issues and problem-solve
EDUCATION and/or EXPERIENCE:
  1. Associate Degree (preferably in Human Resources) with three to five years' secretarial or administrative experience in a fast-paced Human Resources office environment, or any combination of education and experience that provides equivalent knowledge, skills, and abilities focused on Human Resources.
  2. Valid driver's license.
  3. Bilingual in Spanish (preferred).
COMMUNICATION AND INTERPERSONAL SKILLS:
  1. Ability to comprehend and interpret a variety of documents including confidential files, health cards, reimbursable absence forms, computer manuals, student/parent handbooks, etc.
  2. Ability to respond to common inquiries or complaints from students and staff
  3. Ability to prepare a variety of documents using prescribed format and conforming to all rules of punctuation, grammar, diction and style
  4. Ability to provide excellent customer service to a variety of audiences while responding to requests for information, explaining procedures and following instructions
  5. Ability to communicate effectively with employees, students, parents, administrators, school staff, sales representatives, delivery persons, police officers, School Board members, nurses, the general public, and others verbally and in writing
  6. Ability to work independently and multi-task in an organized manner and prioritize tasks to ensure completion of all job responsibilities within designated deadlines. Ability to maintain efficient workflow to meet tight deadlines
  7. Demonstrate teamwork and customer service skills
  8. Ability to maintain confidentiality and problem solve
  9. Works cooperatively in a team environment and can manage and delegate as needed
  10. Knowledgeable of all District, federal and state policies and procedures as required
COMPUTER SKILLS:
  1. Proficiency in the usage of accounting, database software, internet software, e- mail and word processing software
  2. Ability to proficiently use the following programs is strongly preferred: MS Word, MS PowerPoint, Publisher, Excel, as well as proficiency in Google Applications (i.e. slides, sheets, documents)
  3. Ability to type accurately and proficiently
  4. Ability to assist in electronic file transfers related to employee benefits
  5. Working knowledge of office software systems, including knowledge of HRIS (i.e. Skyward) including payroll systems and applicable HR/payroll processes
MATHEMATICAL SKILLS:
  1. Ability to add, subtract, multiply, divide and calculate decimals and percentages
  2. Skilled in working with spreadsheet applications and formulas
ENVIRONMENTAL ADAPTABILITY:
  1. Be able to prioritize work within a changing environment while always keeping a focus on supporting employees
  2. Ability to work effectively in an office environment
  3. Occasionally required to work outside of normal school hours as needed for special events
PHYSICAL REQUIREMENTS:
  1. Ability to operate a variety of office equipment including computer, photocopier, calculator, fax machine, telephone, etc.
  2. Must have current physical on file with the District Office certifying applicant is able to meet all job qualifications or the ability to complete the physical within 30 days of start date (Wisconsin Statute 118.25)
  3. Ability to lift and/or move up to 30 pounds.
  4. While performing the duties of this job, the employee is regularly required to sit and talk or hear and occasionally required to stand; walk; and reach with hands and arms.
  5. Specific vision abilities required by this job include close vision and distance vision.
