Summary: The Housing Coordinator is responsible for assisting in facilitating the daily operations of Autumn Glow and Lady Shaw Senior Center. This position is essential in supporting the implementation of programs, maintaining building facilities, providing wellness services, and ensuring effective communication between staff and residents, all while fostering a nurturing and safe environment for older adults.
Essential Functions at Lady Shaw:
• Assist in daily property operations, assessing conditions and addressing repair needs by assigning maintenance tasks or hiring contractors.
• In the absence of the Housing Supervisor and Director of Housing & Community Development, respond to after-hour building and resident safety emergencies.
• Assist the Housing Supervisor in training, supervising, and evaluating program staff and fostering a positive work environment.
• Assist the Housing Supervisor in managing certification for new residents, conducting annual recertifications, and processing rental adjustments, ensuring accurate and updated records using RealPage and OneSite programs.
• Assist the Housing Supervisor in screening applicants for criminal or sexual offenses per HUD requirements to maintain a safe environment.
• Assist the Housing Supervisor in updating the Waiting List regularly and issuing annual interest letters to applicants.
• Maintain detailed records of inventory, maintenance logs, petty cash, and financial reports; train the Housing Assistant on data management.
• Handle rent collection, issue receipts, and maintain rental records.
• Assist in procuring office supplies and equipment for efficient center operation.
• Collaborate with the Housing Supervisor to develop resident services programs and assess their effectiveness.
• Conduct tours for visitors showcasing property features and services.
• Manage daily operations including guest welcome, parking garage, and tenant support.
• Prepare payment requests and perform clerical tasks.
• Assist in organizing meetings, ensure logistical aspects are in place, and transfer documents securely.
• Perform additional duties as assigned to support the property's mission and residents.
Essential Functions at Autumn Glow:
• Assist in daily property operations of a 15-bed residential care home for older adults with Alzheimer's and dementia, ensuring compliance with RCFE policies and licensing regulations.
• In the absence of the Assistant Administrator, Housing Supervisor, and Director of Housing & Community Development, respond to after-hour building and resident emergencies.
• Assist in providing training, supervision, and performance evaluations for staff to promote a team-focused environment that prioritizes quality care.
• Assist the Assistant Administrator in maintaining accurate medication records and managing inventory to ensure timely refills.
• Assist in designing and implementing daily social and recreational activities to enhance residents' quality of life, as well as volunteer and wellness programs.
• Assist the Assistant Administrator in offering social services to residents and liaising with families, facilitating Family Council Meetings for open communication.
• Take responsibility for operations in the absence of the Assistant Administrator, Housing Supervisor, and Director of Housing & Community Development, ensuring smooth care and management.
• Assist in outreach to promote the facility and maintain an updated waiting list of potential residents.
• Assist the Assistant Administrator in conducting resident interviews, initial income certifications, and annual income evaluations to determine service eligibility.
• Assist the Assistant Administrator in office tasks such as rent collection, rental records, maintenance requests, contractor management, and supply procurement.
• Report incidents to relevant government entities to ensure compliance and resident welfare.
• Represent Autumn Glow at industry meetings and events, participating in training to stay updated on best practices.
• Perform additional tasks as assigned by the supervisors.
Qualifications:
• Minimum requirement: high School diploma and one year of relevant experience in community services; an Associate's degree is preferred.
• Familiarity with senior services and activity coordination for this demographic is a plus.
• Sensitivity to diverse ethnic groups, disabled clients, and the elderly is essential.
• Ability to work independently and collaboratively in diverse settings.
• Strong organizational, communication, and interpersonal skills required.
• Bilingual in English and Cantonese is necessary.
• Proficiency in Microsoft Office and effective internet navigation is essential.
• Candidates must successfully pass a health screening for tuberculosis clearance and undergo a comprehensive criminal background check. Maintained First Aid Certification is also mandatory. Obtain recertification for the Residential Care Facility for the Elderly (RCFE) license is preferred.
• For positions that require driving as part of the job responsibilities, candidates must possess and maintain a valid California driver's license, uphold a satisfactory driving record, and ensure automobile insurance coverage according to Self-Help's policy.
