VCU's Global Education Office has an exciting opportunity for an Hourly Global Learning Assistant.The Hourly Global Learning Assistant will play a crucial role in supporting the Global Learning Office through a variety of administrative and programmatic tasks. Key Responsibilities:Typical duties of the Hourly Global Learning Assistant include, but are not limited to:Global Learning Support: - Assist with international student insurance and medical resource information.
- Coordinate travel logistics and onboarding for new international students.
- Support matching and guest planning for inbound/outbound students.
- Track Peace Corps Prep (PCP) students and coordinate related events.
- Audit the website for inactive links and outdated information.
- Assist with outreach efforts, including creating materials and coordinating student participation in events.
- Coordinate International Education Week activities.
- Support Global Learning hosted/sponsored events and programs.
- Create and disseminate event information for Global Learning populations.
Education Abroad: - Provide administrative support for overseas payments and academic records.
- Assist with course maintenance and credit transfer processes.
- Manage communication between GEO's outreach programs, faculty, staff, and external partners.
General Office Support: - Provide front desk support, handling calls, emails, walk-ins, and scheduling requests.
- Process student payments and reconcile application systems.
- Organize and maintain student records, supply closets, and office spaces.
- Manage office operations such as mail, answering phones, scheduling meetings, etc.
- Support students through advising, program support, and other services, including processing student applications.
Required Qualifications:- Bachelor's degree and 1 to 3 years of relevant professional experience or an equivalent combination of education, training, and experience;
- Proven experience as an administrative assistant, office manager, or similar role;
- Exceptional written and verbal communication skills; ability to provide excellent service to faculty, staff, students, and outside constituents;
- Experience leading or supporting events;
- Strong organizational, time-management, and multitasking skills;
- Proficiency in Google Suite, with the ability to learn new software as needed;
- Ability to adapt to change and ambiguity; ability to work across departments;
- Ability to work independently with minimal supervision;
- Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications: - Experience studying, living, volunteering, teaching, or working abroad;
- Knowledge of a second language;
- Familiarity with TerraDotta Software or similar web-based office and application management systems;
- Proven ability to enhance office productivity and efficiency;
- Advanced skills in Microsoft Office;
- Design skills, including familiarity with Canva;
- Experience in content creation for social media;
- Ability to anticipate needs and proactively assemble appropriate resources.
