  • Location: Chicago, IL 60606
  • Schedule: Monday - Friday, 8:30 AM - 5:30 PM
  • Compensation: $24 - $25 per hour
We are seeking a Customer Service Hospitality/Office Services Associate to provide exceptional client five-star experiences through proactive communication, attention to detail, and outstanding customer service. This role is 80% hospitality and 20% office services, supporting our prestige law firm client, a high-touch, meticulous account requiring a task-oriented and problem-solving professional.

Job Summary but not limited to:
  • Serve as the primary point of contact for client inquiries, ensuring a seamless and professional experience.
  • Conduct daily site walk-throughs to maintain workspace functionality and safety.
  • Ensure meeting rooms and collaboration spaces are always in "ready-to-use" condition.
  • Maintain office equipment and coordinate repairs as needed.
  • Collaborate with facilities, engineering, and vendors to support workspace needs.
  • Perform hospitality rounds throughout the day, ensuring conference rooms, huddle rooms, and pantries are well-maintained.
  • Maintain cleanliness and ensure PPE, wipes, and sanitizers are readily available.
  • Oversee kitchen and breakroom services, including stocking and upkeep.
  • Manage catering orders, setup, and cleanup for breakfast/lunch events.
  • Ensure service delivery aligns with SLAs and compliance standards.
  • Support 80 hotel and visitor offices along with 12 conference rooms.
  • Consolidate customer feedback and generate monthly reports.
  • Customer Service & Communication:
  • Greet clients and visitors professionally, using their names to enhance engagement.
  • Be highly visible and accessible, spending at least four hours per day walking the site.
  • Build strong relationships with stakeholders across all levels.
  • Share internal communications with the Sheppard Mullin team.
  • Promptly respond to verbal and email requests, ensuring thorough follow-up.
  • Office Services & Administrative Support:
  • Provide backup support for the Copy & Print Center.
  • Conduct floor and copier checks, ensuring equipment is stocked and functional.
  • Manage supply inventory and restocking.
  • Assist with light facility tasks, such as office moves and hanging pictures.
  • Complete additional duties as assigned by the Workplace/Facility Manager.
Qualifications:
  • 3 - 5 years of experience in hospitality, office services, or a related profession (law firm experience preferred).
  • Strong customer service mindset with a passion for hospitality.
  • Exceptional communication skills, both verbal and written.
  • Highly organized with strong attention to detail and time management skills.
  • Ability to multitask in a fast-paced, high-touch environment.
  • Collaborative team player with excellent interpersonal skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Teams, Outlook).
