We are seeking a
Guest Services professional for a full-time, temp-to-hire position for our client, an independently owned real estate company that serves Coastal Southern Maine. The company specializes in the sale, purchase, and rental of coastal vacation homes and offers a large inventory of Maine Beach Vacation Rentals in areas such as Goose Rocks Beach, Cape Porpoise, Granite Point, Fortunes Rocks/Biddeford Pool, and Hills Beach.
The Guest Services associate will manage the daily operations of the Front Rental Office. This includes interacting directly with tenants and property owners, providing top-tier hospitality and overseeing property maintenance and management. The Guest Services team member ensures seamless guest experiences from check-in to check-out and serves as the face of the business. This is a customer-facing, operational support position located in Kennebunkport, Maine.
As a Guest Services professional, you will be responsible for: - Answer incoming calls and greet walk-in clients in a courteous and professional manner.
- Serve as a customer service representative and receptionist, managing front desk operations.
- Direct real estate inquiries to the appropriate licensee and route rental-related questions to the Rental Manager.
- Assist customers with vacation/winter rentals, booking processes, and first refusal procedures.
- Provide rental balances, accept and process payments, and walk guests through rental policies.
- Manage Saturday check-ins and check-outs, document property issues, and coordinate with cleaners and the Rental Manager.
- Deliver check-in instructions regarding trash removal, parking, beach access, and property care policies.
- Sell short-term rental (STR) weeks by phone and email with professionalism and tact.
- Handle and resolve guest complaints, coordinating with the Rental Manager on escalated issues.
- Troubleshoot and coordinate repairs for household mechanical or tech-related issues.
- Maintain a tidy and up-to-date reception area with marketing materials and local resources.
- Organize the supply room and assist with additional administrative projects (e.g., mailings).
The ideal candidate for this role will have: - High school diploma or equivalent; additional education in hospitality or office administration preferred.
- Previous experience in hospitality or a professional office setting.
- Strong customer service, communication, and organizational skills.
- The ability to problem-solve independently and maintain professionalism under pressure.
- Familiarity with basic home systems (plumbing, HVAC, etc.) to handle minor issues.
- Proficiency in Microsoft Word, Excel, Publisher, WordPress, QuickBooks, and property management software.
- A detail-oriented mindset and commitment to following through on all responsibilities.
