PURPOSE STATEMENT

This position is responsible for performing accounting, record keeping and fiscal activities, ensuring compliance with financial, legal and administrative requirements and providing customer service and secretarial support to site administrators.

ESSENTIAL FUNCTIONS

  1. Provide exceptional customer service for students, parents, staff and the public; answer a wide variety of telephone and in-person inquiries; promote positive public relations for the district.
  2. Model appropriate and cooperative behavior for a school office environment, including protecting confidential information.
  3. Coordinate ASB fiscal activities (fundraisers, ASB yearbook sales, ASB pictures, field trips, etc.) for the purpose of ensuring compliance with established guidelines.
  4. Process ASB receipts, fundraiser requests, fundraiser reconciliations, donations, etc.
  5. Responsible for money management and cash handling.
  6. Balance ASB accounts, prepare monthly financial reports for all ASB accounts and budget transfers as needed, prepare ledger and reconciliation reports.
  7. Train club advisors and coaches in collaboration with ASB Advisor on ASB procedures for fundraisers and reporting; work with staff advisors on ASB budgets; advise ASB student officers on ASB budget development and ASB regulations.
  8. Process Traffic Safety Registrations, schedule student drives, and coordinate with instructors.
  9. Ensure financial records comply with state regulations, district policies, and auditor requirements.
  10. Operate InTouch point of sale system and manage the TouchBase online store, including processing payments for the building such as AP Testing, Traffic Safety, Fines & Fees, etc.
  11. Prepare requisitions and purchase orders; maintain records of P-Card transactions and reconcile statements; process invoices for ASB bills.
  12. Maintain documents, files, and records (petty cash fund, accounting records, InvestEd, Washington Gambling Commission Report, etc.) for the purpose of providing up-to-date information and audit trail.
  13. Maintain a variety of program records and research; track records for compliance and/or completion; maintain student data records and reports; input data into district software programs; produce reports as requested. Examples include ASB receipts, general fund and other accounting records.
  14. Provide general office support to assistant principals and other office staff.
  15. Prepare, format, and type a wide variety of documents, including correspondence, memoranda, newsletters, bulletins, forms, reports, and records.
  16. Duplicate and distribute materials.
  17. Maintain and manage appointment calendars, coordinating schedules as needed.
  18. Organize and schedule meetings.
  19. Prepare a variety of reports and documents (purchase orders, reimbursement reports, year-end reports, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
OTHER FUNCTIONS
  1. May serve on various district committees and/or departmental work teams.
  2. Perform related duties consistent with the scope and intent of the position.

MINIMUM QUALIFICATIONS

Education and Experience
  • High School diploma or GED; AA degree preferred.
  • Education, training, skills, and experience necessary to carry out the assignment.
  • Additional accounting, ASB or accounts payable experience preferred.
Knowledge, Skills and Abilities
  • Bilingual English/Spanish preferred.
  • Knowledge of general bookkeeping procedures.
  • Knowledge/awareness of own cultural identity and how this influences behavior, and desire to learn about the cultural identity of others.
  • Ability to establish and nurture an environment that promotes cultural competence and equitable treatment of staff, students, and patrons of the district.
  • Ability to communicate effectively, establish and maintain effective working relationships with students, parents, staff and the public.
  • Skill in correct grammar and spelling; ability to proofread and make corrections.
  • Ability to compose and format correspondence.
  • Ability to set up and maintain accurate files and records, organize and prioritize work.
  • Ability to learn district and state ASB and Traffic Safety bookkeeping procedures and regulations; working knowledge of ASB regulations preferred.
  • Strong computer skills utilizing a variety of programs and the ability to learn newsoftware programs.
  • Ability to attend to detail with accuracy, identify and resolve discrepancies.
  • Knowledge of safety and security procedures for cash handling; ability to prepare and monitor budgets.
  • Ability to communicate effectively orally and in writing.
  • Effective customer service and public relations skills; ability to promote positive public relations for the school and district.
  • Ability to establish and maintain positive working relationships with students, parents, staff, vendors and the public.
  • Required to maintain confidentiality.
Licenses/Special Requirements
  • Fingerprinting and background check.
  • Must complete Walla Walla Public Schools Risk Management and Bloodborne Pathogens Training upon hire.
  • Valid Washington state driver's license for transporting bank deposits and a good driving record.

TERMS OF EMPLOYMENT

Secretary II on the PSE Classified Salary Schedule A

Seven and a half (7.5) hours per day, five (5) days per week, 260 days per school year; PSE Salary Schedule, Retirement, SEBB Benefits, 13 Holidays, Paid Sick Leave
