Healthcare Office Manager
Location: Glen Cove, NY
Salary: $62,000-$64,000 annually, based off qualifications & experience
Full-time: Monday-Friday, day hours. Some evenings may be required.

Position Summary:
The Glen Cove Office Manager plays a critical role in the successful operation of the CEC Glen Cove clinics (Article 31, 32 and 28). The Office Manager supervises the front desk and administrative personnel, manages schedules, coordinates billing and insurance processes, ensures regulatory compliance, and contributes to a positive and professional environment. The Office Manager ensures that CEC delivers excellent customer service in the process of welcoming, checking in and checking out patients receiving services.
Key Responsibilities:
- Oversee front desk operations and administrative personnel
- Recruit, hire, train, and supervise front desk/ reception staff.
- Coordinate work schedules and manage time-off requests to ensure appropriate coverage.
- Fill in at front desk during times of staff shortages and call-outs. This includes evening coverage when required.
- Provide coverage in the Glen Cove Article 28 desk as needed.
- Conduct performance evaluations and perform progressive discipline for front desk personnel as needed.
- Ensure patients are welcomed in a professional and compassionate manner
- Maintain confidentiality and adherence to HIPAA at all times.
- Ensure front desk complies with OMH and OASAS regulations.
- Address and resolve patient concerns or complaints promptly and appropriately.
- Manage patient scheduling, check-in/check-out procedures, and front desk functions including insurance verification, collections of payment and insurance matters.
- Responsible for safe handling of cash and patient payments.
- Call and interface with Managed Care Organizations in regards to insurance coverage information and co-pays
- Call patients receiving remote services in order to collect co-pays
- Interface with CEC Administration and Finance when needed in regards to insurance billing and collection policies.
- Use and train staff in electronic medical record used by CEC Clinic.
- Generate reports on billing activities.
- Complete required administrative documentation for OMH / OASAS as needed including PAS Forms, documentation in the Client Data System, Monthly Service Delivery reports and other required reporting.
- Complete special projects and assignments as directed by the Glen Cove management team.
Required:
- BA / BS Degree required.
- 2+ years of office management experience, preferably in a healthcare or behavioral health setting.
- Strong knowledge of electronic systems.
- Excellent interpersonal, organizational, and problem-solving skills.
Preferred:
- Familiarity with mental health confidentiality standards and outpatient clinic settings.
- Knowledge of Medicaid, Medicare, and commercial insurance billing.
- Experience with EMR systems (eClinicalWorks preferred).
- Bilingual Spanish a plus.
