Pay Range Information:

Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate's qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Job Description Summary:

Reporting to the Deans of Crean College of Health and Behavioral Sciences and the School of Pharmacy, the Health Sciences Contracts Administrator plans, coordinates, and manages the contract administration activities of all Rinker Health Science Campus graduate programs, with an emphasis in clinical and experiential education program needs. The Health Sciences Contracts Administrator ensures contracting duties are performed in an efficient, effective, and timely manner, adhering to all relevant laws, policies, and procedures by collaborating with the Chapman University offices of Legal Affairs, Risk Management, IS&T, and other offices in the contracting process, as well as external compliance entities, stakeholders, and contracting partners.

Responsibilities:

Experiential and Clinical Contracting

  • Act as liaison for the Rinker Campus academic programs with the offices of Legal Affairs, Risk Management, IS&T, and other internal departments to obtain contracting approval, to review and maintain standard contract agreements, exhibits, and amendments.
  • Independently draft contract agreements utilizing information collected by stakeholders in experiential/clinical departments
  • Initiate and monitor internal workflow submissions for contract approval and processing.
  • Manage all existing contracts on file and track expiration/renewal dates, certificates of insurance, cost, etc. and collaborate with the appropriate employees, departments, and external stakeholders to gather information necessary to renew.
  • Collaborate with Clinical and Experiential programs to negotiate contract terms and conditions with 3rd parties.
  • Ensure that all agreements are complete and properly written and edited, and comply with relevant regulations, accreditation standards, and institutional policies.
  • Identify and mitigate risk associated with affiliation agreements.
  • Research and develop knowledge regarding best practices in contracting; identify risks in contract documents; and develop and implement negotiation skills to best represent the Rinker Campus and University in the contracting process.


Contract Management - Rinker Campus programs
  • Work with Legal Affairs and Risk Management to establish and revise, as needed, contract templates suitable for a health science campus.
  • Optimize effectiveness in contracts management by seeking opportunities for process improvement
  • Ensure timely and efficient lifecycle of contracts from submission to completion
  • Establish a contract management database and continuously evaluate and improve contract management processes to enhance efficiency and effectiveness.

Provide Training and Guidance
  • Serve as primary resource for inquiries on the creation of new agreements, providing consultation and advising staff and faculty on the interpretation of complex terms and conditions, as well as the procedure for submitting agreements.
  • Collaborate with the Office of Legal Affairs to learn and apply general legal- and risk-related guidance when reviewing and advising on agreements.
  • Provide expertise to Rinker Campus staff in the redlining/negotiation processes of agreements.
  • Provide training and resources (in collaboration with Legal Affairs) to individual staff who engage in the contracting process.

Required Qualifications:

  • Bachelor's Degree in Education, Business Administration, or related field, or equivalent, relevant experience
  • 4-6 years of progressive experience in clinical/experiential education, contracts administration, higher education, paralegal administration, or similar professional experience.
  • Experience in interpretation, application and compliance with contractual policies and regulations
  • Ability to promote team building and development.
  • Strong communication and interpersonal skills to convey accurate information in a professional manner and ability to interact with a diverse group of individuals at all organizational levels, both inside and outside the University.
  • Organizational and time management skills, with the ability to prioritize duties when faced with interruptions, distractions, and fluctuating workload and carry them out in a timely manner to meet deadlines
  • Ability to use tact and diplomacy while maintaining a high level of confidentiality.
  • Ability to use Microsoft Office suite including Word, Excel, and Outlook.
  • Technical skills to learn and use enterprise systems and applications needed for the position.
  • Proven ability to work independently, formulate logical and sound decisions and/or recommendations.
  • Strong commitment to customer service and team success

Desired Qualifications:

  • Master's degree
  • Familiarity with contract management software
  • Working knowledge of educational programs with clinical/experiential rotations within a university setting.
  • Working knowledge of higher education environment, policies and procedures
