Award-winning travel company seeks an energetic, detail-oriented, and tech-savvy administrative associate to help us grow and thrive via support in a variety of office functions including phones, document fulfillment, data entry, database management, sales and marketing support and more. Successful candidates will work in Microsoft Office suite (Word, Excel, Outlook), HubSpot, Smartsheet, WETU and other programs to perform general office duties. This position is based in our Denver, Colorado office and is primarily an in-office position.


Job Duties:

Supports company operations by maintaining office systems.

Answering incoming calls.

Manages IT including liaising with support companies and help desks, printers, WIFI, adding users, ordering hardware, managing licenses, etc.

Managing VOIP phone system, troubleshooting, adding and managing users, creating voice mails.

Ordering of office supplies including paper, brochures, hats, backpacks, luggage tags, etc.

Managing on call schedule.

Creating, updating and managing procedure documents, employee manuals, etc.

Managing group calendars including scheduling meetings with customers and suppliers

Document fulfillment and mailing.

Organizing birthday cards for staff.

Change emergency line weekly.

Organizing weekly employee recognition gifts, ad-hoc events and annual retreat.

Monitoring group inbox to keep tidy.

Database management in Outlook, Hubspot and more.

Licensing and renewals including insurance sales licenses, filings with state government, etc.

Back up bookkeeping duties.


Skills/Qualifications:

Positive and VERY detail oriented.

Ability to prioritize and multi-task.

Ability to work effectively in a high volume and fast-paced environment.

Great time management.

Great verbal and written communication skills.

Good working knowledge of computers and systems.

Fluency in Microsoft Office applications such as Word, Outlook and Excel.

Knowledge of, or ability to quickly learn, HubSpot and WETU systems.

Quick learner.


Compensation:

$20,000 - $25,000 annually commensurate with experience.
