Position Overview:
The Groups and Events Specialist plays a key role in supporting the planning, coordination, and execution of group transportation and event services. This in-office position is ideal for someone who thrives in a collaborative yet autonomous environment and offers the opportunity to grow into more off-site responsibilities over time. The ideal candidate is an outgoing, relationship-driven professional, who enjoys connecting with people and building lasting partnerships. They will work closely with the Groups and Events Manager while independently managing the full lifecycle of events-from concept through execution-with a sharp eye for detail and a proactive approach to problem-solving. Success in this role requires someone who is highly organized, coachable, and capable of juggling multiple projects while adapting to shifting schedules and client needs. This is a dynamic role for a self-starter eager to contribute to a fast-paced, customer-focused team.
Duties:
- Consult with clients to determine transportation needs and develop customized service solutions for events.
- Professionally respond to RFPs in a timely manner with rates, logistical solutions, and industry expertise.
- Create and manage client contracts, including follow-up for signatures, payment, portal access, service details, and ongoing updates.
- Collaborate cross-functionally with Accounting, Dispatch and leadership to ensure seamless service delivery and attention to program details.
- Serve as the main point of contact for clients, addressing last-minute changes, service issues, and overall customer satisfaction.
- Attend site inspections with meeting planners & hotel convention services managers to provide transportation guidance and assess service logistics.
- Prepare and import client manifests, confirmations, and system alerts according to established event protocols and customer's requirements.
- Prepare Program/Meeting Resumes and distribute to internal teams; brief office and field staff as necessary to ensure accurate execution.
- Coordinate and support DMCO field staff by preparing service outlines, leading onsite briefings, and monitoring service performance to ensure contractual compliance.
- Assist with issue resolution during programs, providing responsive and effective support to clients and internal teams.
- Conduct post-event evaluations to gather feedback and identify areas for future improvement.
- Participate in the development and refinement of departmental procedures and best practices.
- Assist with field staff hiring, onboarding, training, supervision, and invoicing.
- Support the evaluation and selection of motor coach vendor partners and request affiliate rate sheets as needed.
- Stay informed of industry trends and standards through trade publications, seminars, and professional networking.
- Attend all position appropriate, internal meetings and contribute to operational planning and strategy.
Growth-Oriented Responsibilities:
- Attend and participate in hospitality and transportation industry meetings, committees, and conferences as directed.
- Represent the company at national trade shows and events, including staffing the booth and promoting services.
- Actively prospect and develop new business opportunities to expand the client base.
Required Skills & Experience:
- Bachelor's degree in a related field, or Certified Meeting Planner (CMP) qualification, or 3-5 years of experience in hospitality, event planning, marketing, B2B, or project management.
- Strong interpersonal, networking, and customer service skills
- Coachable and open to feedback
- Proficient in Microsoft Office Suite
- Comfortable working with cloud-based platforms such as Google Workspace (gSuite)
- Experience with data entry software, familiarity with Livery Coach is a plus
- Familiarity with event or project management software, word processors, and spreadsheets
- Excellent verbal and written communication skills in English
- Strong attention to detail

- Ability to manage multiple tasks in a fast-paced environment
- Self-motivated and able to work independently with minimal supervision
Schedule:
Monday to Friday, must have the flexibility to work based on client needs
Weekends as needed
Compensation:
$58,000 - $62,000 per year (commensurate with experience)
