We are currently seeking a talented individual to become a Group Sales & Racing Coordinator. An individual could be successful if they possess the following.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Group Sales & Racing Coordinator is responsible for ensuring that revenue goals are achieved or exceeded by soliciting, developing, promoting and selling to assigned markets, local catering segments and individual and group sales goals to include assigned markets. Create property knowledge through direct phone sales; direct sales calls, trade shows and networking groups. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Assists Director of Sales to collect monies based on the timeline listed on contract
  • Responsible for collecting payment information, collecting contracted deposits and final pre-payment 5 days before event
  • Sends itemized ticket/final folio to group and collect payment
  • Oversees all financial transactions, including payment processing, invoicing, and reconciliation post-event for all events booked through the sales office
  • Creates group resumes based on financial and group information to be distributed throughout the property for proper execution by the team
  • Communicates with all departments regarding all group finances
  • Seasonally (during racing season), responsible to secure group bookings via phone or via the online request form to Trophy Races, Arkansas Room, Jockey Club, and Carousel Terrace
  • Seasonally (during racing season), responsible for managing client relationships, contract processing, event logistics, and the overall coordination of racing season sales
  • Seasonally (during racing season), ensure the accurate completion of Event Orders and provide receipts post-event
  • Seasonally (during racing season), provide on-site support during race days and ensure VIP guests and sponsors receive the necessary services
  • Follow departmental policies and procedures
  • Follow all safety policies
  • Punctual attendance required
  • Ability to work required overtime.
  • Other duties as assigned
QUALIFICATION REQUIREMENTS

  • Ability to work varied shifts and schedules, including "prime time" nights, weekends and holidays
  • Present and actively assist groups on site
  • Responding to all incoming inquiries within a 24-hour timeframe
  • Building and maintaining relationship with repeat groups
  • Collect deposit for each booking
  • A self-starter
  • Excellent communication skills (in person and on the phone)
  • Able to manage groups to follow all dress codes and protocols with have in place on the racing side
  • Great computer skills
  • Customer service experience is preferred
  • Hotel background is preferred
SUPERVISORY RESPONSIBILITIES

This job does not have supervisory responsibilities.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in in English may also be required.

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS
  • Employee must be able to qualify for licenses and permits required by federal, state and local regulations.
  • Must possess a valid driver's license and have acceptable driving history as determined by Oaklawn Jockey Club.
