Job Title: Group Coordinator

Location: Washington, District of Columbia - On-Site, In Person Position

Department: Sales & Marketing

FLSA Status: NON-EXEMPT

Reports To: Director of Sales & Marketing

Job Summary: As Groups Coordinator, you will perform routine procedures in order to maximize revenue and guest satisfaction and will work to develop future and repeat business opportunities in groups.

Key Responsibilities:
  • Receives and enters in all contracts in the system.
  • Receives and enters in all rooming lists.
  • Works with Pass Key.
  • Focuses on Rooming list and cut-off dates.
  • Liaison with sales and group events managers.
  • Attends group pick up meetings.
  • Works with Marketing Analyst to ensure blocks in R&I are balanced with Delphi.
  • Oversees addendum to contracts.
  • Works with group clients to ensure they receive pick-up reports, rooming list, etc.
  • Manage telephone and email enquiries in a prompt and professional manner and in accordance with company standards ensuring accuracy and attention to detail at all times.
  • Understand seasonal and historical trends and work within them to ensure maximum occupancy and average room rates.
  • Monitor customer satisfaction regularly and resolve any outstanding issues to ensure future business.
  • Manage administrative requests as directed by the Management Team.
  • Manage an events schedule to maximize yield.
  • Build strong relationships with customers, Guests and Team Members in order to gain full understanding of their needs and work to serve them effectively.
  • Reservations policies and procedures are followed to ensure Guest satisfaction.
Required Skills, Experience and Knowledge:

Ideal candidates have a minimum of 1 year in customer service, are bilingual, and have previous experience working in hotels.
  • Good organizational and administration skills
  • Positive attitude and good communication skills
  • Commitment to delivering a high level of customer service
  • Confident telephone manners
  • High level of IT skills
  • Excellent grooming standards
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
  • Knowledge of the hotel property management systems
