Description

Under the general direction of the Director of Finance, the Grants Coordinator performs a variety of complex, highly responsible professional work involving the administration of grants. This includes researching grant opportunities, preparing and submitting applications, coordinating with divisions, tracking expenditures, financial reporting, and ensuring requirements are met. The grants coordinator will perform work relating to federal, state, and local grant programs and will provide necessary information to the general public, outside agencies, and City management as needed.
Examples of Duties

ESSENTIAL FUNCTIONS

  1. Directs and oversees the City's federal, state, and local municipal grant programs, including the management and coordination of all grants related work.
  2. Confers with department directors and staff members regarding grant opportunities to assist in coordination of City services.
  3. Identifies outside funding sources by researching Federal, State, and local foundations for grant opportunities. Creates and maintains a database of opportunities, determines feasibility, eligibility, and requirements for grants, and depicts grant requirements with staff and grantors.
  4. Reviews and prepares material for, and assists with, presentation of grants to the City Council, including Requests for Council Review and Staff Reports.
  5. Prepares and submits grant applications, including preparing narratives, letters of support and commitment, project budgets, and other addenda in coordination with the appropriate staff.
  6. Responsible for tracking and oversight of all grant awards, including monitoring, reporting, and closing out grants upon completion.
  7. Communicates with grantors and project managers concerning identifiable issues and discusses funding matters with the Accounting Division.
  8. Responds to related inquiries from City employees, appointed/elected officials, governmental entities, and the general public regarding grants.
  9. Ensures that all requirements of approved grants are met. Conducts a variety of technical and analytical activities relating to grants.
  10. Performs all other duties as assigned or required.
KNOWLEDGE SKILLS AND ABILITIES
  1. Comprehensive knowledge of grant processes from application to completion.
  2. Comprehensive knowledge of standard office practices, procedures, equipment, and techniques.
  3. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals; ability to write routine reports and correspondence; ability to speak effectively before groups of general public, customers, and City Council.
  4. Ability to calculate figures and amounts, applying concepts of basic algebra.
  5. Ability to solve practical problems and critically analyze variables in circumstances where limited standardized information exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  6. Independently performs a variety of complex, highly responsible professional work involving various departments across the City.
  7. Understanding of basic computer operations; Comprehensive knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and database applications.
  8. Ability to learn and navigate various grant software as required by agencies.
  9. Ability to establish and maintain effective working relationships with business clients, public officials, the general public, community groups, the news media, and staff.
  10. Ability to maintain consistent attendance.

Typical Qualifications

MINIMUM REQUIRED QUALIFICATIONS
  • Bachelor's degree in Political Science, Public Administration, Business Administration, Finance or related field of study with experience in the areas of grant and project management or related experience.
  • Valid state driver's license at time of placement.
  • Driving record sufficient for coverage with City's insurance.
PREFERRED QUALIFICATIONS
  • Extensive grant administration experience.
  • Successful grant application experience.
