Job Description

The Leahy Institute for the Environment at Saint Michael's College invites applications for the Grant & Program Administrator position. This position will provide crucial administrative support for a vibrant and growing team at Saint Michael's. This position includes the coordination of large federal grant administration, flagship programming and special projects, advisory board coordination, and annual report data collection.

Responsibilities include, but are not limited to:
  • Maintain Director's schedule including a balance of meetings, teaching, and project work time and assisting with forecasting project timelines for the many initiatives of the Director.
  • Financial and budget planning monitoring and reconciling purchases and invoices including coordinating purchases to support Institute programming, speaker travel, and forecast spend down for grant assisted programs.
  • Serve as the primary coordinator for flagship and external partnership events (i.e., Lecture Series, High School Student Visit program, Admissions & Alumni programming, etc.)
  • Manage the planning of the Advisory Board including annual calendars, activity plans, agenda, minutes and follow-up.
  • Prepare and edit drafts of the Advisory Board agendas, notices of meetings, meeting materials, meeting minutes, and follow-up.
  • Record and track all Advisory Board recommendations and work closely with the Director to develop work plans and projects if recommendations add to the work of the Institute.
  • Collect and organize data for annual reports for the college administration and grant reporting partners.
  • Participate in Institute and campus-wide learning opportunities to further develop awareness, skills, and knowledge for supporting and fostering inclusion and belonging for students and colleagues.
  • Understand and carry out duties consistent with the College's Edmundite Mission.

Requirements:

Applicants must have the following:

Education and Work Experience:
  • Bachelor's degree required
  • 3 - 5 years' experience in administrative support or related functions managing highly confidential and sensitive information
  • Prior experience with educational settings and project management processes and software preferred
  • Experience with drafting and editing correspondence and proficient use of grammar, spelling, and punctuation
Knowledge, Skills and Abilities:
  • Ability to convey decisions regarding the time and priorities of the Director with tact and courtesy
  • High level of organizational and planning ability; detail and deadline-oriented
  • Ability to exercise discretion and independent judgement
Analytic Skills:
  • The ability to assess the purpose and details of multiple projects from the overall goals to detailed steps to success
Language and Literacy Skills:
  • Reads and interprets a wide range of information
  • Regularly listens to questions, responds, and problem solves
  • Speaks to individuals and small groups effectively
Computer/Technology Skills Required:
  • Proficient with Microsoft Office products, especially Word and PowerPoint and other applications, including MS Teams, Canva, ClickUp (or other PM software). Experience with LinkedIn, Canvas and Handshake platforms are a plus.
