Purpose This role will coordinate and administer graduate programs for the Department of Germanic Studies and for the Department of Slavic and Eurasian Studies while demonstrating the highest standards of excellence in the work that is performed. This position is responsible for coordinating all phases of graduate programs and related administrative activities.
Responsibilities
- Serve as a professional resource for the graduate programs, to answer questions and provide reliable information. Maintain database and graduate student files. Assist with all graduate processes, including registration and bars, conference course scheduling, qualifying exams, graduate course descriptions and catalog information, GSC meetings, and other related processes.Liaison to the Office of Graduate Education, Graduate School, Graduate Admissions, Texas Global, and Human Resources.
- Coordinates graduate admissions with the faculty admissions committee. Coordinates AI and TA assignments and prepares appointments. Arranges AI and TA room assignments.
- Tracks applications and posts admissions decisions. Coordinates and arranges campus visits and funding for incoming students.
- Processes graduate fellowships and student travel awards. Processes graduate student travel documents.
- Prepare all reports pertaining to the graduate programs. Maintain spreadsheets and databases of graduate students and program for use in production of ad hoc reports and university required reports. Work on maintaining alumni information. Assists the GSC Chairs with TRAC-DAT reporting. Prepare survey reports for national professional organizations MLA, NRC, Monatshefte. Meet all program, college, and university deadlines.
- Assists Department Manager and other staff with website updates, outreach projects, events, Workday, and provides back-up for other administrative functions as needed. Serve as Course Evaluation Liaison and back-up for grade reporting.
- Other related functions as assigned.
Required Qualifications Bachelor's degree and at least 5 years' experience working with college students in an administrative or advising capacity. Experience as a GC at UT or elsewhere or working in a similar role at UT. Excellent written and verbal communication skills. Professional demeanor, always exhibiting patience and collegiality. Ability to multi-task and prioritize assignments to meet deadlines.Reliable and dependable attendance. Ability to work effectively in a team. Flexibility and a willingness to learn.
Relevant education and experience may be substituted as appropriate
Preferred Qualifications Master's degree and more than 5 years of experience working with college students in an administrative or advising capacity. Working knowledge of UT graduate student policies, procedures and administrative systems. Ability to successfully balance multiple projects and meet overlapping deadlines. Experience with Workday and other UT systems such as DEFINE and FRMS. International experience (such as study of a foreign language, study abroad, international work experience, etc) preferred.
Salary Range $55,191 + depending on qualifications
