JOB SUMMARY

The Graduate Admissions Administrator supports all aspects of the application process for domestic and international students' applications from around the globe at all nine colleges at Northeastern University. The role will serve as an interface between multiple university offices such as related admission offices and the International Enrollment Management team to provide customer service that leads to a high rate of application completion and enrollment conversion.

Key areas of focus include (but not limited to) maintaining data integrity within the admissions process, improving operational processes to meet a high level of service for students, work with channel partners in providing required customer service and respond to student service tickets and communications on a regular basis in reference to the pre-enrollment lifecycle of a student.

This position will require a flexible work schedule, including some nights and weekends, and the willingness to travel on an occasional basis is necessary.

MINIMUM QUALIFICATIONS

Any experience in transcript evaluation, CRM use for admissions, counseling, customer service experience is desired. Experience working CRM application management process and system including but not limited to AY application systems, Salesforce, TargetX, Slate and ERPs, including Banner for an educational institution. Proven ability to work independently, excellent communication and presentation skills, sensitive and responsive to the needs of diverse constituencies and managing goals. Ability to multi-task and handle a wide variety of job duties and prioritize based on supervisory direction. Experienced and proficient with Microsoft Office suite. Excellent organizational, counseling and communication skills are required. Knowledge and skills are normally acquired through the completion of a Bachelor's Degree. Prior experience working in higher education a plus. A minimum of one year of experience in admissions and application processing, college admissions and/or other customer service organizations. Familiarity with international academic documents desired.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

1) Application Administration:
  • Responsible for the overall completion of a student application file. Ensure application completion rules as established by the colleges are met.
  • Evaluate domestic and international students' academic records.
  • Collect and review admissions documents for completion.
  • Facilitate foreign transcript review and completion as required.
  • Coordinate additional document submissions from students.
  • Follow up regularly with the applicants and channel partners directly or through on-ground NU representatives on required documents for completion of the application.
  • Ensure that all applications reflect all materials received to date and that each application is processed promptly by established admissions best practices.
  • Process applications for review upon completion and facilitating student record creation. Verify the authenticity of records received for student application files.
  • Review foreign transcripts, credentials, application materials including LOR, application information to help make informed recommendation or decision.
  • Confirmation of accreditation of institution/s.
  • US equivalency of the foreign credential/s.
  • Backlogs/Arrears/Repeats if any.
  • CGPA on US 4-point scale.
  • Grade conversion used for GPA calculation.
  • Pending documents like official hard copy transcripts & diploma.
  • Prepare applications for transfer credit evaluation and facilitate transfer credit awarding.
2) Application Decision Making Support
  • Work with the college/program directors/admissions committee for admissions review/decision.
  • Render Admissions decisions records as and when required.
  • Communicate application status and decisions to students accurately and efficiently. Provide a seamless introduction to the college by generating outbound communication to the student/channel partners regarding decision, enrollment confirmation and next steps.
  • Manage the enrollment confirmation/deposit process.
  • Create and manage application status report for regular follow-up communication with university stakeholders, channel partners and students.
  • Facilitate visa document issuance to international students and support matriculation.
  • Collect of original transcripts, verify, and load to Admissions systems for application file completion on student enrollment.
  • Perform quarterly maintenance such as archiving applications, condition lifts, and carry forward applications.
  • Generate monthly reports on application figures for internal stakeholders. Flag trends in admitted and denied applications to senior management and program area.
  • Coordinate the archiving of student applicant records and perform quality assurance checks on archived documents.
  • Manage second review process and ensure timely response by faculty.
  • Streamline and assess admissions review process on a regular basis to increase efficiency.
  • Establish best practices for first and second review of admissions files.
  • Partner with college(s) to assess and standardize admissions criteria and standards.
  • Handle escalated admitted or denied students.
3) Student Service and Communication
  • Break down barriers to completion by ensuring efficient application review, flagging applicant errors, and following up on any discrepancies or missing documents required for admissions.
  • Assist in general admissions office student inquiries, student cases, internal communication when necessary.
  • Be available to assist Admissions Counselors, International Enrollment Management, College partners with questions regarding application status.
  • Provide training and updates to the Admissions counselors, International Enrollment Management, channel partners with regards to the application system and processes.
4) Other:
  • Produce ad hoc data reports on applications for other departments within Enrollment Management.
  • Represent Enrollment Management at on-campus events such as open houses, graduation, or orientations.
