The University of Virginia Darden School of Business seeks a Global Programs Administrator to join its Center for Global Initiatives (CGI) team.

The Administrator will provide administrative support for the range of global programming sponsored by CGI including residential MBA (Darden Worldwide Courses, Global Client Projects and Exchange), professional degree (Global Residencies, Global Client Projects, and MSBA global course), and International Partner Programs.

The Center for Global Initiatives sponsors academic programs in more than two dozen countries for Darden students every academic year with over 400 enrollments, with virtually all Darden full-time residential students enrolling in at least one course during their program and all Executive MBA students required to complete one global residency. Additionally, CGI welcomes MBA students from elite partner business schools around the world to study in the U.S. at its facilities in Charlottesville and Rosslyn, through custom International Partner Programs. This role will provide excellent administrative support to global programs and will collaborate closely with the CGI team to ensure seamless execution of the assigned programs and initiatives. This role will also provide administrative support for engagement activities through the Center, such as leadership travel and international events.

The Administrator will support the team by managing all administrative aspects of the implementation of global programs, such as ensuring compliance with relevant policies and regulations, payments, expenses and reconciliation, travel management for faculty and staff, student travel registrations, student travel insurance enrollments, Canvas course support, event scheduling and logistical support, etc., as well as reaching out to external stakeholders to confirm program logistics, meetings and details. The ideal candidate will be highly organized and detail-oriented, with an interest in international education and a desire to facilitate transformative international experiences for Darden students.

This position is located in-person in Charlottesville, VA, or potentially, Rosslyn, VA .

Responsibilities:
  • Work closely with the CGI team, program faculty leaders, global programs staff coordinators, vendors and other stakeholders to provide high level of customer service and smooth processes during the planning phase of course preparations.
  • Support CGI staff to troubleshoot administrative challenges. Work in tandem with Darden colleagues in Financial Aid, Registrar, etc. to identify and implement solutions to common student issues.
  • Update CGI's SharePoint portal and Canvas pages, assist in preparing program materials, pre-departure meetings, and logistical travel information for students. Advise students on travel resources as needed.
  • Manage all administrative aspects, including but not limited to: developing or updating information and pre-departure session decks, Darden student information systems related to global programming; facilitating UVA's travel registration system process; emergency contact card creation; insurance enrollment; speaker gift selections and tracking on assigned DWCs; creating and managing program evaluations and arranging post-program debriefs with faculty and document feedback from program to ensure continuous improvement.
  • Administer the purchasing of Global Program gifts, including inventory management and program gift tracking. Effectively liaise with University of Virginia staff in Procurement and Finance to ensure policies are followed and correct documentation is collected.
  • Collect and upload photos from Global Programs to Flickr, as well as curate content for the Global Voices of Darden Blog to highlight programs and student insights. Partner with Darden's Communications and Marketing team to share useful content for marketing and promotion.
  • Ensure the timely dissemination of relevant information to students, faculty, and staff regarding program updates, deadlines, and requirements.
  • Maintain accurate records and databases related to student program participation, and other relevant data.
  • Prepare and distribute materials for orientation sessions, pre-departure meetings, and other program-related events.
  • Support efforts to collect feedback from students, faculty, and program partners to evaluate the effectiveness of study abroad programs and identify areas for improvement.
  • Compile data and prepare reports on program outcomes, student satisfaction, and other relevant metrics.
  • Develop estimated flight and out-of-pocket expenses for assigned destinations for student financial aid budgets and staff travel expense estimates.
  • Manage all travel arrangements for faculty and staff participating in assigned programs including booking air travel, arranging departure and return transfers, closely managing overall travel costs within the parameters for successful travel and budget, and reconciling travel budgets post-program.
International Student Support :
  • Darden's international students have their own unique set of challenges related pursuing a graduate degree outside of their home country and sometimes these challenges are magnified when it comes time to participate in global courses. This role provides additional support to help guide through tasks related to global course participation.
Other Program Support :
  • Support other CGI sponsored initiatives as needed, such as the DWC Staff Coordinator role, Darden Art Project, Exchange Program, and managing logistics related to international guest visits to Darden.
  • Support international event logistics, such as working with venues, restaurants, hotels and transportation companies, processing reimbursements, as well as travel arrangements for Center leadership.
  • General office administrative tasks, such as placing office supplies orders, arranging catering, and helping with routine team management work.
Education and Professional Experience:
  • High School diploma and four years of relevant experience. Bachelor's degree, required by start date, may substitute for years of experience.
  • Interest in study abroad advising, international education, or related fields.
  • Strong interpersonal skills and the ability to work effectively with diverse populations.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite
  • Familiarity with relevant policies, regulations, and best practices in higher education
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Excellent written and verbal communication skills
  • Willingness to work occasional evenings and weekends, as needed.
