We are seeking a detail-oriented and experienced GL / Sales & Use Tax Accountant to join our client's finance team. This role is ideal for a tax and accounting professional with expertise in sales and use tax compliance, fixed asset management, financial reconciliations, journal entries, account reconciliation, month-end close and reporting.

Key Responsibilities

  • Oversee and manage sales and use tax filings across multiple states using Avalara, ensuring compliance with direct state reporting requirements.

  • Establish and maintain online tax accounts, communicate with tax authorities, and address related issues, including tax audits.

  • Monitor state tax nexus and ensure proper registration with relevant state, county, and municipal tax authorities as business operations expand.

  • Analyze sales tax applicability for invoices across various product and service categories, considering exemptions, resale status, and direct shipments.

  • Collaborate with Accounts Receivable, Customer Service, and clients to resolve invoicing tax discrepancies, including issuing credit and debit memos.

  • Maintain and update exemption certificates for customers across multiple jurisdictions.

  • Determine use tax obligations on company purchases and internally utilized inventory; provide vendors with appropriate exemption or resale certificates.

  • Perform monthly reconciliation of sales/use tax payable accounts, ensuring accurate allocations across different states.

  • Compare sales and tax figures with Avalara records, process adjustments, and approve tax payments.

  • Handle business license applications and renewals across state, county, and municipal entities.

  • Stay current with tax law changes, assess their impact on company tax policies, and provide guidance to internal teams.

  • Continuously review and enhance tax accounting procedures to improve efficiency and automation.

  • Utilize and develop complex spreadsheets for journal entries and reports related to bank reconciliations, prepaid amortization schedules, expense accruals, lease asset depreciation, and revenue/cost accruals.

  • Conduct regular reviews of invoices, journal entries, and accrual transactions to ensure accuracy.

  • Reconcile various General Ledger (GL) accounts, with a strong focus on bank account reconciliation.

  • Upload journal entries and process month-end closing activities using accounting software (e.g., Sage Accounting).

  • Generate financial reports for internal stakeholders, auditors, and parent company on a monthly, quarterly, and annual basis.

  • Establish asset profiles, determining category, useful life, and total capitalization cost, incorporating shipping and installation expenses where applicable.

  • Manage asset records within fixed asset management software (e.g., Sage Fixed Assets), including setup, transfers, and disposals.

  • Process month-end journal entries and reconciliations for fixed asset-related accounts, such as depreciation, lease assets, and construction-in-progress.

  • Conduct annual fixed asset audits remotely across multiple office and warehouse locations in coordination with IT and facilities teams.

  • Prepare asset-related reports on a monthly, quarterly, and yearly basis.

Qualifications and Skills

  • Bachelor's degree in Accounting, Finance, or a related discipline.

  • At least five years of relevant experience in tax accounting within a mid-to-large-sized organization (experience in the semiconductor or similar industry is a plus).

  • Strong knowledge of sales and use tax regulations, including experience with state tax audits.

  • Advanced proficiency in Excel, including pivot tables, VLOOKUP, XLOOKUP, SUMIFS, CONCATENATE, OFFSET, IF statements, and other complex formulas.

  • Familiarity with Avalara and/or ERP systems (Sage100 preferred but not required).

  • Excellent written and verbal communication skills, with a strong attention to detail.

  • Analytical mindset with problem-solving abilities and the capacity to make sound decisions.

  • Ability to manage multiple responsibilities efficiently while ensuring accuracy and compliance.
