The role you'll contribute:

The Front Desk Supervisor is responsible for overseeing the greeting, instructing, directing and scheduling of patients and visitors. Serves as liaison between patient and medical support staff.

The value you'll bring to the team:
  • Oversees the file clerk(s), receptionist(s), referral coordinator(s) and appointment scheduler(s).
  • Keeps all front office staff up to date on any insurance changes or policy changes.
  • Creates the monthly schedule for all front office staff ensuring full coverage. This must be done by the third week of each month and given to the Office Manager/Staff, then posted.
  • Secures coverage for front desk in the event of vacations.
  • Assumes responsibility or assigns other staff to cover duties of absent front desk staff.
  • Ensures that daily charges are entered in the absence of Data/Charge Entry staff.
  • Responds to Memo pad on a weekly basis.
  • Clears faxes on a daily basis.
  • Ensures that charts are copied for medical records requests.
  • Reports potential problems to Office Manager to ensure smooth operations.
  • Greets patients and visitors in a prompt, courteous and helpful manner.
  • Answers the telephone in a courteous manner prior to the third ring, identifying the practice and self by name.
  • Takes accurate and legible messages, which include time, date and initials.
  • Answers non-clinical questions for patients and family members and routes all other calls correctly.
  • Understands guidelines for and appropriately uses the telephone system.
  • Appropriately connects and disconnects answering service, providing needed information to service.
  • Annotates patient arrivals, no shows and cancellations correctly in Medic system and patient chart.
  • Enters new patient demographics, verifies and updates existing patient demographic data.
  • Schedules appointments in appropriate time slots following scheduling policies and procedures.
