Front Office Supervisor.
Job Summary Provides day-to-day leadership and direction for the Front Desk team, ensuring exceptional customer service and smooth front office operations in accordance with brand standards and hotel procedures.
This description is a summary of primary responsibilities and qualifications. The job description is not intended to include all duties or qualifications that may be required now or in the future. The Hotel operates 24 hours a day and 7 days a week, so operational demands require variations in shift days, starting times, and hours worked in a week.
Key Responsibilities - Supervise and guide front desk associates, providing clear direction and feedback to ensure optimal performance and guest satisfaction.
- Greet all guests warmly and sincerely, responding to inquiries, concerns, and special requests with accuracy and care.
- Oversee guest check-in/check-out process, including room selection, payment processing, key coding, and issue resolution.
- Handle guest complaints and concerns with professionalism, offering solutions or revenue allowances when appropriate.
- Monitor and manage daily front desk operations, billing, and third-party booking platforms.
- Assist in managing group arrivals and preparing pre-arrival packets.
- Serve as Manager on Duty (MOD) in the absence of the Front Office Manager.
- Support and participate in hiring, training, and evaluating new front desk agents; ensure all staff are trained on PMS and hotel procedures.
- Track employee time and attendance; enforce attendance policies and recommend progressive discipline as needed.
- Foster a high level of associate satisfaction through effective leadership, support, and open communication.
- Maintain knowledge of all front office duties, including night audit and PBX.
- Ensure cleanliness, safety, and compliance with hotel policies across all front desk areas.
- Perform other related duties as assigned by management.
Fundamentals - High school diploma or equivalent required; college degree preferred.
- Minimum 2-3 years of experience in a front desk or supervisory role within the hospitality industry.
- Proven ability to lead, coach, and develop a team in a high-paced environment.
- Exceptional communication, problem-solving, and guest service skills.
- Proficient in Microsoft Office and hotel PMS systems (e.g., Opera, OnQ).
- Must be able to handle cash, process credit card transactions, and perform moderately complex arithmetic functions.
- Bilingual skills a plus.
Knowledge, Skills & Abilities - Excellent verbal and written communication skills in English; a second language is a plus.
- Strong conflict resolution and customer service skills with the ability to remain calm under pressure.
- Ability to perform in a fast-paced environment while maintaining a pleasant and professional demeanor.
- Strong organizational skills and attention to detail.
- Familiarity with local attractions, restaurants, and directions to assist guests.
Physical Demands - Ability to stand for 95% of shift and move throughout front office area.
- Occasional twisting, bending, stooping, and reaching.
- Frequent talking, hearing, seeing, and smiling.
- Ability to lift up to 25 lbs.
