Software Guidance & Assistance, Inc., (SGA), is searching for a
Front Desk Receptionist for a
CONTRACT ssignment with one of our premier
Financial Services clients in
lower Manhattan, NYC. He or she must be in the office 5 days/week. Responsibilities :
- Operate multi-line telephone system to answer incoming telephone calls and direct calls to appropriate employee or department
- Respond to caller/visitors and by providing general information in a timely, professional and courteous matter
- Greet on-site visitors and announce visitors to appropriate employee
- Schedule meetings and conference rooms
- Monitor visitor access
- Maintain orderly and tidy receptionist area and 23rd floor conference rooms
- Maintain preventative schedule for all AV equipment with IT
- Preform Sundry duties as assigned
- ssist with coordinating details for events such as conferences, business meetings, internal and external Scotiabank events
- ssist with book, organizing event space, arranging food/beverages/appropriate decor, ordering supplies, coordinating logistics and ensuring details of event operate smoothly and efficiently
- ssist in efforts to publicize the event to employees
- ssist with coordinating event invitations and manage RSVP List
- Manage and process business card orders for new hires and existing colleagues
- Manage and process expense reports, including obtaining approvals and submission to Finance
- Generate and process purchase orders (PO's), including obtaining approvals and submitting invoices
- Oversee the monthly OpCo updates, ensuring timely data submission from all team members, and maintaining clarity, conciseness and visual neatness in presentation slides
Required Skills :
- 2-4 years experience as a Receptionist
- bility to manage multiple projects and work assignments
- Prior experience coordinating events with little supervision
- Presentation experience
- Excellent interpersonal skills in person and by phone
Preferred Skills :
- Prior experience working Reception within Financial Services
