Must work a minimum of two home football games every year in addition to every other Thanksgiving week and/or playoff home football game.
Purpose We are seeking a friendly, organized, and detail-oriented individual to join our team as a Front Desk Receptionist. The ideal candidate will provide administrative support to the Parking and Transportation Services department and be the first point of contact for clients, visitors, and team members, ensuring a positive and professional experience for all.
Responsibilities
- Manage opening and closing responsibilities of the office. Greet and welcome visitors with a warm and professional demeanor. Provide customer service in person, over the phone, and via email; return customer calls promptly and courteously. Assist with questions related to parking and transportation issues.
- Perform general administrative tasks, including copying, faxing, filing, and assisting other teams with projects. Monitor and maintain office supplies, placing orders when needed.
- Use parking and university software systems efficiently and accurately. Generate reports and process all main office incoming and outgoing mail and shipping. Drive University of Texas vehicles as necessary to support departmental tasks.
- Other related functions as assigned. Occasional weekend, holiday, comp and overtime hours required as needed. Must work a minimum of two home football games every year in addition to every other Thanksgiving week and/or playoff home football game.
Required Qualifications High school diploma or equivalent and at least five years of experience with advanced administrative functions. Previous experience in a receptionist or front desk role preferred. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and relevant software systems. Friendly, approachable, and professional attitude. Ability to handle confidential information with discretion. A valid driver's license for vehicle operation when required.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications Direct experience as the first point of contact with internal and external customers. Working knowledge at the intermediate level of Microsoft Office Suite, specifically Outlook, Excel, Word, and PowerPoint. Experience providing support in an administrative office at UT Austin; familiarity with UT's policies and procedures. Proven experience coordinating office functions for an active and multi-faceted, front-facing office environment.
Driving Required This job requires a class "C" operator's driver's license. The applicant selected must provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).
Salary Range $41,600 + depending on qualifications
Working Conditions Standard office environment
Work Shift Monday - Friday 8:00 AM - 5:00 PM
