Our established and fast-paced CPA firm in Westfield, NJ is seeking a professional, highly organized Front Desk Coordinator to join our team full-time. This is a key client-facing role that helps keep our operations running smoothly and ensures a welcoming, professional environment for our clients and staff.
Key Responsibilities:
- Greet clients and visitors with professionalism and warmth - both in person and on the phone
- Manage scheduling, calendar coordination, and incoming documentation
- Support the administrative needs of the accounting team, including client follow-ups, scanning, and data entry
- Maintain a neat and efficient front office environment
- Handle incoming/outgoing mail and office supplies
- Ensure clients receive excellent service from their first interaction through follow-up
What We're Looking For:
- Prior experience in a receptionist, front office, or administrative assistant role (experience in a CPA, law, or medical office is a plus)
- Strong communication skills and a polished, professional demeanor
- Excellent organizational skills and attention to detail
- Ability to handle multiple tasks and remain calm during high-volume periods
- Proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with accounting or CRM software is a plus
