Description

The Front Office Coordinator serves as the first point of contact for our patients and plays a vital role in creating a welcoming and positive experience. This position is responsible for delivering professional, friendly, and efficient service while supporting the daily operations of the office. Key Responsibilities:
  • Act as the primary point of contact for patients, fostering a welcoming and professional environment that reflects the practice's values.
  • Efficiently schedule and coordinate patient appointments, ensuring accuracy and optimal use of the schedule.
  • Prepare and organize all necessary patient paperwork for the day's appointments, ensuring documents are complete and readily available.
  • Collect co-pays and outstanding balances during check-in, accurately record payments in the Practice Management system, and maintain a daily payment batch.
  • Verify and update patient information for accuracy before entering demographics and clinical details into the Electronic Health Record (EHR) system.
  • Ensure all necessary referrals are obtained, scanned into the EMR system, and appropriately linked to the corresponding appointment.
  • Reconcile and balance daily payment batches at the close of each day and submit them to the Site Manager for review.
  • Coordinate follow-up procedures and schedule cases at local Ambulatory Surgery Centers (ASC) as needed.
Requirements
  • High School Diploma or GED required.
  • Minimum of two (2) years of front office experience, preferably in a medical setting. Experience in women's health is a plus.
  • 1-2 years of customer service experience required.
  • Exceptional customer service skills with a caring, compassionate, and patient-focused attitude.
  • Strong attention to detail with a willingness to learn and adapt to new processes.
  • Excellent verbal and written communication skills to effectively interact with patients, staff, and providers.
  • Proficient in computer software applications and database systems, with the ability to type at least 40 words per minute.
  • Comfortable working in a fast-paced, dynamic environment while maintaining composure and professionalism.
  • Proactive problem-solving abilities and the capability to manage multiple tasks efficiently.
  • Strict adherence to HIPAA regulations to maintain patient confidentiality and privacy.

Reliable transportation is required for all positions, as occasional travel to other clinic locations may be necessary.
