Title: Front Desk Coordinator Department: Office of Scholarships and Financial Aid
Supervisor: Assistant Director of Scholarships and Financial Aid
Purpose of the job:
Management of front counter operations
Supervise and train OSFA work-study students
Assist students and others visiting OSFA
Answer phones for OSFA
Answer emails sent to
Essential duties and responsibilities:
1) Responsible for student service at the counter in person, via email and on the
phone
2) Assist students with financial aid application processes
3) Oversee the operation of service to students at the front counter
4) Verify financial aid applications for completeness and accuracy of student's
enrollment status, academic progress, etc.
5) Refer students to appropriate professional staff member as needed
6) Supervise staff and student assistants working at the front counter
7) Manage traffic flow of students visiting the office
8) Responsible for the security, filing/scanning of documents for OSFA and
maintenance of the files as stated in FERPA and financial aid policies and
procedures
9) Manages multiple communications utilizing electronic multimedia for the receipt
and distribution of mail to include all mass student communications specific to the
OSFA.
10) Create, coordinate, and update, all financial aid forms for printing and
duplicating.
11) Keep office supplies and forms at an adequate reserve level.
12) Responsible for ensuring equipment is working; requesting servicing as necessary
for copier, fax, and student-used computers.
13) Assist students and their families regarding financial aid eligibility, assistance
programs available, and their rights and responsibilities associated with those
programs.
14) Assist with the distribution of information on various financial aid programs
available to students; conduct financial aid presentations on campus and in the
community
Knowledge and skills required:
Associate's Degree or equivalent work experience
Prior financial aid or related university work experience
Familiarity with the financial aid application process
Interpersonal skills necessary to deal effectively with students, parents, staff, the
public, and the University community; demonstrated strong written and verbal
communication skills
Demonstrated analytical abilities to handle complex administrative details with
experience working in a fast-paced, multi-tasking environment
Demonstrated ability to work with minimal supervision and the ability to work
well under pressure and with frequent interruptions of work
Working conditions:
1. Significant amounts of personal, phone, and electronic interaction with others.
2. When workload demands, individuals will be expected to work the necessary
hours to get the job done.
3. Physical capabilities for normal office environment required.
4. Very limited travel.
5. Non-smoking environment
