Up and coming Charlotte law firm is looking for top notch Front Desk Administrator to be the welcoming face and voice of the company.


Jesson and Rains, PLLC, a small estate planning, probate, and business law firm located in the heart of SouthPark Charlotte. The Front Desk Administrator plays a vital role as the first point of contact for our clients, both in person and over the phone. We are looking for an individual that possesses exceptional customer service skills and thrives in a fast paced environment. Our ideal candidate is friendly, dependable, highly organized, and enjoys helping others as part of a supportive team.



Roles and Responsibilities:

  • Answering, screening, and directing incoming phone calls with a positive and welcoming tone
  • Greeting and welcome clients and visitors with a warm, professional demeanor
  • Handling incoming and outgoing mail
  • Drafting cover letters
  • Communicating with clients via telephone and email
  • Scheduling appointments, calls, meetings, etc., utilizing special software
  • Maintain attorneys' calendars
  • Maintaining contact and client database
  • Drafting and sending engagement letters and invoices to new clients
  • Serve as witness / notary
  • Assist with administrative tasks including scanning, filing, copying, and data entry
  • Collaborate with legal assistants and attorneys to ensure seamless client experience.
  • Communicate clearly with team members and ask clarifying questions when necessary.
  • Proactively manage multiple tasks while maintaining attention to detail and accuracy.

Qualifications:

  • 2+ years of administrative or front desk experience (legal setting preferred, but not required)
  • Professional demeanor and manner
  • Strong multi-tasking and time management skills
  • Excellent verbal and written communication skills
  • High level of accuracy and attention to detail
  • Ability to prioritize and handle multiple tasks at a time
  • Must have analytical and technical skills requiring an aptitude for detail, precision, and logic in order to perform essential administrative/clerical functions and utilize firm software.
  • Proficiency in MS Office (Outlook, Word, Excel), Adobe Acrobat.
  • A collaborative and proactive work ethic

Experience and Education

  • Prior executive or legal assistant experience or receptionist in professional setting required
  • Associate Degree desired or equivalent experience
