SUMMARY: The Front Desk Administrator will have combined responsibilities of managing front desk operations and supporting human resources functions. The Front Desk Administrator role requires excellent communication, organizational, and multitasking skills to maintain a professional and welcoming environment while ensuring efficient HR and office administration. ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Serve as front desk receptionist, answering phones, manage incoming and outgoing mail, assisting everyone who visit Human Resources with a variety of questions and concerns.
  • Use AI and other technology for communications and tracking.
  • Maintain the office by keeping the office stocked and organized (i.e., the kitchen, boardroom, stockroom, storage closets, and communal areas).
  • Manage departmental billing and credit card statements.
  • Post internal notices on communication boards and monitors.
  • Manage calendars for HR meetings and appointments, ensuring timely communication with all parties involved.
  • Support onboarding processes for new hires, including preparing necessary documentation and coordinating orientation sessions.
  • Leads presentations during new hire orientations and meetings to communicate key information.
  • Maintain accurate employee records and update HR databases timely while handling confidential and sensitive information with discretion.
  • Oversee all active, inactive, and stored personnel files, including filing employee paperwork, and moving the location of files pursuant to HR's record storage schedule.
  • Support payroll, benefits administration, and compliance tasks under HR supervision.
  • Manage various programs such as dependent scholarship, service awards, tuition assistance program, charitable giving and the merchandise sale.
  • Manage and organizing employee engagement activities, training sessions, and company events and meals.
  • Prepare employment verification letters as requested.
  • Provide administrative support to the Human Resources department as needed.
  • Special projects assigned as needed.
SUPERVISORY RESPONSIBILITIES: This position will not have any supervisory responsibilities.

  • Excellent oral and written communication skills - bi-lingual skills a plus.
  • Proficiency in Microsoft Word and Excel; familiarity with other MS Office applications
  • Strong technological aptitude.
  • Must be able to work well in a high-pressure/fast-paced environment.
  • Must be able to deal with a variety of personality types with poise and professionalism.
  • Must be able to learn and adapt to a changing work environment.
  • Must be able to handle confidential information with the utmost discretion.
  • Must be able to work successfully both independently and as part of a team.
EDUCATION and/or EXPERIENCE: Must have an associate's degree or equivalent with one to two years of proven experience in a similar administrativerole.

LANGUAGE SKILLS: Ability to read, write and comprehend simple instructions, short correspondence, and memos. Ability to communicate in a clear and professional manner. Bilingual preferred but not required.

MATHEMATICAL AND TECHNICAL SKILLS: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement.

REASONING ABILITY: Ability to apply common sense understanding to carry out simple one- or two-step instructions furnished in written or oral. Ability to deal with standardized situations with only occasional or no variables.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; sit; use hands, fingers, handle, or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee is occasionally exposed to moving mechanical parts and loud noise when working in the manufacturing area.
