Rolling Submissions: We are seeking talented and experienced Freelance Producers to join our pool
of producers for ongoing projects. As our projects are dynamic and frequent, we regularly review
applications on a rolling basis, and this job posting will remain open indefinitely to accommodate
future opportunities.

Role Overview: The Freelance Producer plays a pivotal role in driving the successful execution of
experiential marketing initiatives and is responsible for growing and educating a team of process
and best practices. This individual is responsible for overseeing all aspects of project
development, management, and execution, ensuring seamless delivery of high-impact events and
activations.

Project Development:

• Collaborate strategically with Creative, Client Services, and Business Development teams to
brainstorm and develop innovative concepts and ideas for projects.

• Support initial proposals, pitches, and RFPs, ensuring alignment with client needs and
objectives.

• Develop comprehensive budgets, project timelines, and operational plans tailored to the specific
requirements of each project. This involves analyzing project deliverables, estimating costs, and
mapping out the necessary resources and steps for successful project execution.

• Partner with the VP of Production in deliverables and pitches.

Budget & Timeline Management:

• Create detailed budgets for projects upwards of $5M, leveraging previous experience, industry
contacts, and thorough research. Monitor project finances closely, tracking expenses, addressing
scope changes, and optimizing profitability throughout the project lifecycle.

• Craft detailed production timelines including key milestones, deliverables, and
deadlines.

• Implement strategies to keep projects on track, anticipate and mitigate potential delays, and
ensure timely project delivery.

Project Management:

• Oversee the seamless transition of projects from initial development to final
execution.

• Ensure continuity and alignment between project objectives and execution strategies.

• Maintain open lines of communication throughout the project lifecycle and client feedback and
concerns, resolve issues, and ensure project deliverables meet or exceed client expectations in
partnership with the Client Services team.

Team Management & Leadership:

• Empower team members to excel and delegate tasks and projects based on individual strengths,
skills, and availability, fostering a positive and collaborative work environment.

• Monitor project team bandwidth and forecast resource needs to ensure the team is adequately
staffed and resourced for upcoming projects, and inform higher management of situations where hours
are burning faster or slower than originally scoped.

Process & Protocol Development:

• Evaluate existing project management processes and protocols to identify areas for improvement.
Support VP of Production in the
development of new processes or refine existing ones to enhance efficiency, effectiveness, and
consistency in project execution.

• Provide training and support to team members on new processes and protocols, ensuring
understanding and compliance. They implement measures to monitor and evaluate the effectiveness of
new processes, driving continuous improvement.

Administrative:

• Oversee administrative tasks related to project management, ensuring that tasks are completed
accurately and in a timely manner.

• Ensure the timely and expedited execution of internal production processes and requests,
supporting the smooth operation of project management and administrative functions.

• Attend and actively contribute to production and company-wide meetings, providing insights and
updates on project status and departmental initiatives.

• Support the implementation of company-wide systems and practices outside of the production
department, promoting consistency and alignment across the organization.

What We're Looking For In You:

• Bachelor's degree in Business, Marketing, Communications, Public Relations, Entrepreneurship or
equivalent field.

• 6-10 years of real-world experience in Special Events, Event Production, Experiential Marketing,
Immersive Theatre Production or other related field.

• Firm knowledge and experience of producing a variety of events focused on experiential marketing
and brand immersion.

• Project management and leadership experience required; proven ability to manage and develop a
team.

• Experience working in an agency environment preferred.

• Possession of strong writing and editing skills.

• Advanced proficiency in Microsoft Office, Google Suite, and Notion.

• Effective interpersonal, verbal and written communicator and strong negotiation skills.

• Strong attention to detail and ability to produce accurate and professional documents.

• Organized individual with the ability to multi-task in a fast-paced, always on
environment.

• A solutions-oriented, positive attitude with the ability to problem solve intuitively and
creatively for a variety of challenges.

Demands & Expectations:

• 25% travel expected.

• Flexibility to work non-traditional hours based on event schedules.

• Ability to manage administrative tasks efficiently.

• Physical requirements including sitting for extended periods, standing/walking for onsite work,
occasional lifting/moving of up to 25 pounds.

• Must have personal vehicle for occasional local travel; mileage compensation provided.
