JOB OVERVIEW

The Food and Beverage Administrative Assistant provides administrative support to the Director of Food and Beverage Outlets, as well as all Food and Beverage Department Heads. This position requires a high level of organization as well as superior time management and the ability to prioritize projects and tasks.

DUTIES AND RESPONSABILITIES
  • Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
  • Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
  • Maintain positive relations with guests at all times, via email and/or phone communications and correspondence.
  • Be familiar with all hotel services/features to respond to guest inquiries accurately.
  • Monitor and maintain cleanliness, sanitation, and organization of assigned work areas.
  • Maintain complete knowledge of:
  • Micros and EMC
  • Menu engineering platforms, including PowerPoint and Canva.
  • Scheduled daily activities and in-house groups.
  • Daily housecount.
  • Hotel extension numbers.
  • Hours of operation of each outlet, ambiance, menu selections and price range.
  • Menu items, specials, out of stock items, liquor brands, and non-alcoholic selections available in all Food and Beverage outlets.
  • Standard knowledge of reservations platforms such as: OpenTable, 7rooms, Tock.
  • Assist with Group Dining Events for groups between 12 and 20 guests in all Food and Beverage outlets.
  • Assist Chef Events and off-site events for the restaurants.
  • Attend hotel and department meetings.
  • Assist Department Heads with New Hire onboardings.
  • Process Gift Certificates when needed.
  • Process invoices for events - entertainment, decorations, production, and others.
  • Responsible for partnerships on Group events, Produce BEO's and maintain PM accounts with accounting.
  • Assist Sales and Marketing on event submission and distributing event information.
  • Assist Sales and Marketing on Food and Beverage strategies, event planning and confirm event series in the outlets.
  • Order office supplies as needed.
WHAT WE REQUIRE
  • Fluency in English both verbal and non-verbal.
  • Provide legible communication and directions.
  • Knowledgeable in Microsoft Office.
  • Minimum 2 years of experience in similar position in a luxury establishment.
