About the Opportunity

We are seeking a Fleet Coordinator to support the day-to-day tracking, coordination, and upkeep of our vehicle fleet, currently numbering around 250 vehicles across multiple locations. Based in our Rockville, MD office, this role will assist in maintaining vehicle records, coordinating maintenance schedules, and supporting branch management teams in ensuring vehicles are safe, compliant, and ready for use.

The Fleet Coordinator will work closely with our external Fleet, Fuel, and Telematics, partners and internal teams to keep our fleet operating efficiently. This is a detail-oriented support role that plays an important part in keeping our operations running smoothly.

Compensation

  • This is a salaried position based on experience. $75k-$80k annually
  • Potential Quarterly Bonuses

Job Duties

  • Assist with acquiring and disposing of vehicles in coordination with Enterprise Fleet Management
  • Track vehicle registrations, inspections, and maintenance schedules
  • Coordinate routine maintenance and emergency repairs with local vendors
  • Maintain accurate records of vehicle assignments, mileage, and condition
  • Support local field general managers in resolving minor vehicle-related issues
  • Assist in reviewing Driver Vehicle Inspection Reports (DVIRs) and flagging concerns for follow-up
  • Help ensure drivers have appropriate licenses and are informed of basic vehicle policies
  • Maintain updated vehicle inventory and documentation
  • Monitor vendor invoices for accuracy and help track fleet-related expenses
  • Run basic reports to assist with cost tracking and operational planning
  • Support fleet compliance efforts related to safety and regulatory requirements
  • Provide weekly, monthly, and ad-hoc fleet related analytical reports.

Qualifications:

  • 1-2 years of experience in a fleet, logistics, transportation, or administrative coordination role (experience with vehicles is a plus)
  • Strong organizational skills and attention to detail
  • Analytical mindset with the ability to review data, identify trends, and spot discrepancies
  • Proficiency in Microsoft Excel (e.g., creating spreadsheets, using formulas, filtering/sorting data)
  • Ability to track multiple tasks and follow up proactively
  • Comfortable working with spreadsheets, basic fleet software, or online portals
  • Good communication skills and the ability to collaborate with internal teams and external vendors
  • Willingness to learn vehicle-related processes and regulations (training provided)
  • Valid driver's license required
