Job Duties

  • Oversee all financial record keeping, including maintenance of an organized digital filing system using Airtable and OneDrive.
  • Implement and refine financial systems and procedures to ensure organizational efficiency and compliance
  • Ensure all documentation-including invoices, payroll records, reimbursements, and financial reports-is accurately filed and readily accessible
  • Process vendor bills and employee reimbursements using QuickBooks, ensuring timely and accurate payments
  • Print and issue checks, categorize expenses, and maintain up-to-date Accounts Payable records
  • Monitor online bank accounts to confirm availability of funds
  • Prepare 1099 payments as required
  • Record incoming payments (checks and EFTs) in QuickBooks and update Airtable tracking system
  • Coordinate with the external tax preparer to reconcile payments and invoices
  • Process credit card transactions using the organization's third-party vendor (currently Stripe)
  • Monitor outstanding invoices and proactively communicate with clients to resolve delinquent accounts
  • Ensure all payments are tracked and reconciled accurately
  • Manage three distinct payrolls monthly
  • Manage monthly W-2 employees payroll
  • Manage monthly 1099 contractors payroll
  • Manage bi-monthly 1099 contractors payroll
  • Maintain and process time tracking data for hourly employees using an online time tracking tool
  • Administer onboarding of new employees and contractors in ADP, including setup for direct deposit and tax forms
  • Ensure payroll entries are appropriately recorded for financial reporting
  • Partner with the external CPA to complete year-end reconciliations, including open invoices, contract closures, and proper categorization of payments
  • Generate and analyze QuickBooks reports (P&L, Balance Sheet) to support final reconciliation
  • Submit annual tax filings, including:
  • IRS Form 990 (nonprofit tax return)
  • California Form CA-199
  • Secretary of State Form SI-100 (filed biennially)
  • Collaborate with external tax preparer to issue and reconcile 1099-MISC forms for contractors
  • Distribute W-2s to employees through ADP

Education

  • Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience)

Qualification

  • Advanced proficiency in QuickBooks
  • Prior experience working within a nonprofit financial environment
  • Strong interpersonal skills with the ability to communicate tactfully with diverse individuals
  • Exceptional organizational skills and attention to detail
  • Ability to handle confidential and sensitive information with discretion
  • Comfort working both independently and collaboratively with CCRTL HQ staff and clients
