Firm Administrator / Operations Manager
Location: Downtown Portland, OR
Join a respected and collegial boutique law firm specializing in plaintiff-side personal injury work. With a close-knit team of approximately 10 employees, we are seeking a highly organized and experienced Firm Administrator / Operations Manager to lead our administrative operations and support the continued success of our practice.
About the Role
This is a critical leadership role responsible for the overall management of the firm's day-to-day operations. The ideal candidate will be a proactive problem solver and skilled people manager who brings experience in human resources, financial oversight, and office administration. This is a hands-on role best suited for someone who thrives in a small-firm environment and can wear multiple hats.
Key Responsibilities
- Oversee daily office operations, including facilities, technology, and vendor management
- Lead and mentor a small administrative and support team; conduct regular performance reviews and ensure staffing needs are met
- Manage all HR functions including recruitment, onboarding, benefits administration, and compliance with employment laws
- Coordinate payroll and liaise with external accountants; assist with financial reporting and basic bookkeeping
- Collaborate with firm leadership on budgeting, expense tracking, and financial planning
- Maintain firm policies and procedures and support a positive, inclusive workplace culture
- Ensure smooth scheduling, calendar coordination, and case support operations
- Act as a liaison between attorneys and support staff
Qualifications
- Minimum 3+ years of office management or operations leadership experience, preferably in a legal or professional services setting
- Demonstrated people management and HR experience required
- Familiarity with basic accounting functions, including budgeting and payroll processes
- Strong organizational skills with a high level of attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite and practice management or HRIS systems
- Ability to work on-site full time in Downtown Portland
Compensation & Benefits
- Salary range: $90,000-$110,000 depending on experience
