DEPARTMENT: Financial Services
POSITION SUMMARY:
This position will be responsible for receipting all incoming cash, checks, online & credit card payments as well as serving as our customer service representative for the Financial Services office. The work schedule is Monday through Friday from 8:00 a.m. to 5:00 p.m. There may be an occasional Saturday or evening required to assist with campus events.
SUPERVISION EXERCISED/SUPERVISION RECEIVED:
This position will work under the supervision of the director of finance/controller and has no supervisory responsibilities.
ESSENTIAL FUNCTIONS - may include, but not limited to, the following:
ꞏ Answering the main line number
ꞏ Monitor emails in the office email account
ꞏ Open vault and inner safe and keep track of cash drawers that are needed for balancing and business
ꞏ Balance prior day receipts and prepare deposits to be sent to the banks
ꞏ Post payments to student accounts, departmental accounts, or deposit payments
ꞏ Open mail and distribute to the proper individuals in the office
ꞏ Receipt all payments that come in the mail and from other offices such as cash, checks, credit card and online payments
ꞏ Fill cash box requests
ꞏ Answering questions from parents, students, and employees
ꞏ Assist with accounts receivable processes
ꞏ Checking out/in student & faculty p-cards
ꞏ Processing deposit refunds
ꞏ Prepare and mail billings for non-student accounts receivable accounts
ꞏ Assist with accounting for conferences and camps
ꞏ Assisting with or planning office events
ꞏ Assist with collections of past due accounts - calling and preparation of letters
ꞏ Assist with reconciliation of student accounts for insurance, bookstore, spring term deposits, etc.
ꞏ Maintaining spreadsheets for spring terms, alternative breaks, and Alma Opera Block rental income
REQUIRED QUALIFICATIONS:
ꞏ Accurate math skills
ꞏ Knowledge of general office procedures
ꞏ Proficient data entry
ꞏ Good verbal and written communication skills
ꞏ Good interpersonal skills
PREFERRED QUALIFICATIONS:
ꞏ Experience with Microsoft suite of products
ꞏ Experience with accounting software
ꞏ Excellent organizational skills
