Position Purpose:

The Financial Administrator is responsible for ensuring the timely and accurate processing of all financial transactions related to the Computer Store and Endpoint Services. This includes developing and implementing efficient financial processes, providing operational support to staff, reconciling accounts, and resolving discrepancies. The role plays a key part in promoting institutional accountability and financial transparency through accurate reporting, effective collaboration, and oversight of day-to-day financial operations.

You'll also supervise student employees and help make data-driven decisions that keep our services running smoothly.What You'll Do:

  • Oversee financial transactions, reporting, and forecasting for the Computer Store.
  • Reconcile budgets, track spending trends, and help ensure compliance with college policies.
  • Manage billing, assist with inventory workflows, and support the CAPS equipment program.
  • Train and supervise student workers while maintaining documentation for internal audits.

  • An associate's degree (or equivalent experience), plus 2-3 years in a financial or administrative role.
  • A knack for spreadsheets, accuracy, and problem-solving.
  • Strong communication and organizational skills with a team-oriented mindset.

Required Qualifications - Education and Yrs Exp:

Associates plus 2-3 years' experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities:

  • Associate's degree with 2-3 years of relevant work experience or the equivalent combination of education

  • Proficiency with spreadsheet tools (e.g., Excel)

Preferred Qualifications:

  • Experience working in an academic environment.
  • Familiarity with institutional financial systems such as Oracle or Tableau.
  • Proficiency with inventory or point-of-sale systems.
  • Experience supervising or mentoring student employees.
  • Experience supporting financial audits or implementing internal financial controls.
  • Experience managing inventory systems or retail financial workflows.

Financial and Budget Management - 50%

  • Manages and prepares comprehensive budget reports for the Computer Store.
  • Monitors and reconciles all accounts and advises the Director on financial issues.
  • Reconciles current fiscal year budget and spending, P-card transactions/reconciliation, and adherence to college policy.
  • Oversees journal transfers, cashier deposits and purchase orders as they pertain to Computer Store inventory.
  • Creates and maintains documentation for financial processes and best practices.
  • Supports financial forecasting and creates dashboards to visualize spending, trends, and CAPS program activity.
  • Helps perform end of year inventory reconciliation.

Description:

Administrative and Program Support - 25%

  • Assists with the scheduling and coordination of Endpoint services for computer equipment upgrades.
  • Assists with billing inquiries associated with equipment programs.
  • Supports inventory operations by assisting with the receipt, inspection, and organization of incoming goods as needed, ensuring accurate documentation and proper storage.

  • Maintains comprehensive inventory and budget records in compliance with institutional policies, determining retention or disposal when guidelines are unclear.
  • Assists in audit preparation and ensures compliance by maintaining documentation and supporting policy adherence.

Student Employment Supervision - 5%

  • Hires, trains, and supervises student employees on a term-by-term basis.
  • Assigns daily work and provides feedback on performance.
