Our event services client is seeking a Finance & Office Manager to keep their operations running smoothly, managing finances, office logistics, and supporting our team. This role is ideal for someone who thrives in a fast-paced environment, loves organizing, and takes pride in ensuring behind-the-scenes operations run seamlessly. From overseeing finances and HR processes to event logistics, you'll play a key role in delivering impactful experiences for clients and communities. Key Responsibilities
Finance & Accounting
- Oversee accounts payable/receivable, manage QuickBooks Online, and track financial transactions.
- Prepare and update budgets, track quarterly revenue, and provide financial insights to leadership.
- Collaborate with our accountant to ensure compliance.
- Process 1099 contractor payments and maintain tax documentation.
- Manage employee benefits, including health insurance, FSAs, and IRA accounts with UBS.
- Handle financial reporting, compliance (AG filings, nonprofit forms), and track EIDL loan payments.
- Review client contracts for billing terms and setup invoices in QuickBooks Online.
- Maintain SAM registration and GSA sales reports.
Office & Administrative Management
- Organize daily mail, order office supplies, and update the Employee Handbook.
- Track employee vacation/sick time, provide onboarding, and manage payroll paperwork.
- Maintain office equipment and manage client mailings and holiday gifts.
- Track potential interns and maintain the Handshake website.
- Foster a positive office environment for the team.
Qualifications & Skills
Required:
- 3-5+ years in finance, office management, or administrative roles.
- Proficiency in QuickBooks Online, Microsoft Office, and Google Suite.
- Strong organizational skills with attention to detail.
- Experience in accounts payable, receivable, and payroll management.
- Ability to handle confidential financial information.
- Ability to work in a fast-paced environment and during peak seasons (April/May & Oct/Nov).
- Valid driver's license and ability to travel locally.
Salary: $75K-$85K per year, PTO/sick time, medical, vision and dental insurance and more.
