RPStaffing is conducting an immediate search for the Facilities Manager with a major international labor union based in Washington, DC. This position is hybrid, full-time, and offers exceptional benefits.


Status: Direct-Hire / Permanent

Job Title: Facilities Manager

Remote Status: Hybrid: 4 days onsite, remote Fridays

Hours: 9:00 to 5:30

Annual Compensation: $75,000 - 85,000 depending on experience (benefits summary below)


Candidates must currently be living in the Washington, DC area


PRIMARY RESPONSIBILITIES

  • Manage inbound and outbound daily mail, shipping, and receiving logistics including international freight and parcel shipments to ensure proper handling and warehousing.
  • Oversee fulfillment and procurement, ensuring efficient business procedures, material management, and resource allocation (e.g., off-site storage or warehouse).
  • Negotiate vendor contracts, manage supplier relationships, and ensure cost effective procurement.
  • Supervise and develop team of one full-time staff member as well as temporary staff, laborers, and interns.
  • Collaborate with cross-functional teams to optimize inventory management, including tracking, auditing, budgeting, and reporting (e.g., excess licensed samples for donation).
  • Provide regular analysis of operational data and costs to identify trends, improve efficiency, and enhance business processes.
  • Oversee building projects, including renovations, and maintenance, in coordination with finance and engineering teams.
  • Manage workspace and conference room set up, furniture procurement, and office supplies.
  • Manage product donation fulfillment for Company and Affiliate.
  • Perform additional duties as assigned.

Event Logistics:

  • Plan and manage logistics for in-person events, including shipping, receiving, vendor coordination, fulfillment, inventory, and warehousing to ensure seamless event execution.
  • Develop shipping procedures and optimization strategies, conducting post-event evaluations for improvements.
  • Create operational event plans, ensuring clear delegation and timely execution.
  • Negotiate contracts with venues, vendors, and service providers to optimize cost and efficiency.
  • Stay current on industry trends to enhance event operations.

QUALIFICATIONS

  • Bachelor's degree in business management or related field preferred.
  • 3-5 years of managerial, building operations, and event logistics experience.
  • Proven leadership in project planning, execution, and problem-solving.
  • Ability to develop and enforce standard operating procedures (SOPs)
  • Strong negotiation, vendor management, and cost-optimization skills.
  • Effective communication and supervisory abilities.
  • Proficiency in Microsoft Office.
  • Ability to travel (15%)

BENEFITS

MEDICAL INSURANCE:

  • Company pays 100% of the premium payment for employee and eligible dependents.
  • Plan pays at 100% after deductible for in network charges and 80% for out of network charges.

DENTAL INSURANCE:

  • Company pays 100% of the premium payment.
  • Annual maximum: $2,000 per covered person(s). Orthodontic maximum: $1,000 for dependent children under the age of 19. Includes Annual Maximum Rollover feature.

HEALTH REIMBURSEMENT ACCOUNT PLAN (HRA):

  • Reimburses qualified health care expenses for each employee and eligible dependents.
  • Qualified expenses include medical, prescription, dental and vision care expenses not covered by insurance including amounts applied to plan deductibles, co-payments, and coinsurance amounts.
  • HRA reimburses up to $4,000 (single) or $8,000 (family) annually.

LIFE and DISABILITY INSURANCE:

  • Company pays 100% of premium payment.
  • 2.5 x Salary ($100,000 minimum) per employee with spouse and dependent coverage.
  • Accidental Death & Dismemberment (AD&D)
  • Standard Insurance Group for long- and short-term disability insurance.

RETIREMENT SAVINGS PLANS:

  • Employees with 30 days of service are eligible to enter the staff 401(k) plan on any payroll date.
  • Company maintains a separate pension plan for employer contributions, which are based on salary. Employees enter into the plan on the entry date (March 1/Sept 1) after they have completed six months of service. Contributions are made at the end of each plan year (February 28th) starting at 7.5% of employee's base salary up to 20% after employee has completed 10 years of service.

ANNUAL LEAVE:

  • Sick leave accrual rate: Earned at 1 day per month (15 days yearly) with unlimited accumulation.
  • Vacation leave accrual rate: First year-10 days; Second year-15 days; third year-21 days; fifth year-23 days. Limited accumulation of 6-week banking of unused leave. Must take all leave over a 6-week limit before the end of the calendar year or lose the time.
  • Paid Holidays: 13 holidays annually.
  • Parental Leave: Three months paid leave, three months unpaid leave.

TRANSPORTATION ASSISTANCE:

  • Reimbursement of metro rail, bus, or commuter train expenses for travel to and from work. Parking is provided for those who commute via car.

DEPENDENT CHILD CARE ASSISTANCE:

  • Company reimburses eligible childcare expenses up to $5,000 per year.

ADDITIONAL BENEFITS

  • Fitness Membership Reimbursement - employees can be reimbursed up to $30 monthly for an approved fitness center or program membership.
  • Wholesale Club Reimbursement - employees can be reimbursed up to $60 annually for an approved wholesale club membership.
