Context for the role

  • Workplace Solutions (WPS) provides great workplaces for the business, colleagues, clients, and customers. We ensure M&G plc has the right property in the right location at the right time, demonstrating cost transparency, value for money, and delivering the best user experience, all aligned with our risk management approach.
  • The Operations team in WPS manages the day-to-day running, operational performance, safety, security of M&G's property portfolio, and incident management.
  • This role supports the Operations team in managing third-party FM suppliers, providing professional reports, data analysis, and dashboards.
  • Responsibilities include:
    • Maintaining workplaces that are safe, productive, secure, sustainable, and compliant
    • Managing all third-party FM contracts and suppliers' performance and finances
    • Presenting quarterly supplier performance reports to SLT
    • Planning for future estate needs and presenting new technologies and innovations
    • Supporting project delivery for operational efficiency
    • Managing audit regimes
Key functions include
  • Supporting senior leadership in WPS management and leadership
  • Managing aspects related to critical assets, infrastructure, and services within FM contracts
  • Providing FM expertise for fit-out projects and operational readiness
  • Overseeing third-party suppliers for estate management
  • Coordinating incident and crisis response plans
  • Managing property standards and compliance reports
Key responsibilities:

Facilities Management (FM)
  • Contract management, including audits, KPI monitoring, compliance, and performance reporting
  • Managing property-related projects up to £50k

  • Providing subject matter expertise in facilities management and crisis situations
  • Utilizing data sources and dashboards to identify improvements and prepare reports for SLT
  • Conducting risk assessments and advising on controls
  • Supporting sustainability initiatives and ensuring equipment calibration
Commercial
  • Managing supplier relationships and governance
  • Forecasting budgets, invoice approvals, and debt management
  • Planning lifecycle replacements for assets over a 5-year horizon
  • Benchmarking value for money and tracking contractual obligations
Innovation
  • Reviewing and presenting new industry technologies
  • Championing technology adoption to improve efficiency and user experience
  • Driving automation and change within the supply chain
Person specification:
  • Self-driven, results-oriented with experience in crisis management
  • Confidential, confident, and influential
  • High attention to detail and process management skills
  • Team-oriented, supportive, and capable of building relationships
  • Adaptable, innovative, and able to prioritize effectively
Skills & Qualifications:
  • Significant experience in similar roles within large organizations
  • Degree or professional qualification in science, engineering, or FM
  • Relevant professional memberships (e.g., IWFM, RICS, CIBSE, IET)
  • Experience managing multi-discipline FM contracts and risk management
  • Strong data analysis and reporting skills, with ability to produce detailed reports for senior audiences
  • Knowledge of construction and CDM is desirable
