Strategic Analysis is seeking a skilled Facilities & Logistics Directorate (FLD) Coordinator to support the Defense Advanced Research Projects Agency (DARPA). It is of paramount importance to exceed our client expectations with high integrity and focused attention to program deliverables. The Facilities & Logistics Directorate (FLD) within the Defense Advanced Projects Research Agency (DARPA) offers a wide range of support services including mailroom, conference center, facilities management, supply center, health & wellness programs, parking, café, space management, and building management. Their primary focus is providing exceptional customer service across all these functions. The daily operations of FLD can be demanding, with fluctuating workloads and periods of high activity. As a lean Directorate, every team member plays an important and impactful role. This is a full-time position, on-site at DARPA 3-4 days a week. The FLD Coordinator provides comprehensive administrative, operational, and project support to the Director and the entire directorate. This role requires a highly versatile, proactive, and team-oriented individual with excellent communication and organizational skills. The successful candidate will be comfortable working on a variety of tasks, from high-level project management to general administrative duties, and will be committed to providing exceptional support to the team. The individual will take the lead on specific FLD-related projects and initiatives, driving them to successful completion, ensuring alignment with directorate goals, and developing and maintaining Standard Operating Procedures (SOPs) to ensure consistent and efficient operations. Key Responsibilities:
• Action Officer & Project Tracking: Track and manage all open projects and action items for the directorate, ensuring timely completion and adherence to deadlines. Regularly update tasks and timelines in project management systems.
• M365 Expertise: Ability to leverage Microsoft 365 for enhanced communication, collaboration, and productivity. Responsibilities include:
• Designing, deploying, and analyzing FLD surveys using MS Forms to gather valuable feedback and insights.
• Managing and optimizing the FLD Teams channel (Files, Pending Projects, SharePoint Site) to facilitate efficient team collaboration and knowledge sharing.
• Leadership Team Support: Support the leadership team by preparing reports, coordinating meetings, and assisting with strategic planning initiatives.
• Team Player: Be a proactive and supportive team member, willing to assist with any task, regardless of level, to ensure the success of the directorate.
• Customer Coordination: Serve as a primary point of contact for internal and external customers, responding to inquiries, resolving issues, and providing excellent customer service, as needed. Required Qualifications:
• Experience in administrative support, project coordination, or a related field.
• Excellent communication, interpersonal, and customer service skills.
• Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
• Proficiency in Microsoft 365 tools (Word, Excel, PowerPoint, Outlook, Teams, SharePoint).
• Ability to work independently and as part of a team, with a strong sense of initiative.
• Experience interacting with various levels of management.
• Strong work ethic and a commitment to providing exceptional support.
• Secret clearance
