Job Summary:
The Facilities Coordinator is responsible for ensuring the safe, clean, efficient, and professional operation of a corporate office building, including associated external areas such as landscaped grounds and parking lots. This role oversees and executes daily building operations, coordinates with external vendors and service providers, and supports internal teams with facility-related needs.
Duties:
- Facility Operations & Maintenance
- Coordinate and perform regular facility inspections, including EHS checks in accordance with corporate requirements (e.g., lighting, fire extinguishers, emergency exits, signage).
- Oversee general upkeep of the building, including minor repairs, coordinating janitorial and maintenance services, and reporting larger maintenance issues.
- Ensure external areas (e.g., parking lots, entrances, landscaped grounds) remain clean, safe, and free from debris, branches, or other hazards.
- Monitor and maintain shared equipment such as coffee machines, water dispensers, and breakroom amenities.
Vendor & Contractor Coordination:
- Schedule, receive, and supervise external vendors (e.g., HVAC, landscaping, pest control, electrical contractors) to ensure compliance with safety protocols and quality standards.
- Provide on-site support and guidance to vendors, ensuring appropriate access, orientation, and adherence to work scopes.
Office & Event Support:
- Coordinate meeting room setup, AV readiness, and refreshment services for meetings and events.
- Organize internal catering, manage meal deliveries, and ensure proper cleanup post-events.
- Oversee mail distribution, delivery logistics, and supply restocking for shared spaces.
Administrative & Reporting Duties:
- Maintain facility-related documentation and inspection records.
- Track service requests, vendor schedules, and maintenance logs.
- Support EHS compliance efforts in partnership with the Health & Safety team.
- Provide support in planning facility-related upgrades, moves, or minor space reconfigurations.
Working Conditions:
- Primarily on-site, Monday-Friday with occasional early starts or late finishes depending on events or urgent facility needs.
- Requires light to moderate physical activity (e.g., lifting boxes, moving furniture, inspecting exterior areas).
- May include some outdoor work during all seasons to monitor parking lots, signage, and landscaping.
Also note:
- The ideal candidate is highly organized, service-oriented, and capable of both hands-on execution and vendor management.
- Strong organizational and time-management skills; ability to manage multiple responsibilities independently.
- Comfortable working hands-on and resolving practical issues in real-time.
- Excellent communication and interpersonal skills for interacting with internal staff and external vendors.
Skills:
- High School Diploma
- 3 years of experience in corporate building facility coordination, building maintenance, or a similar operational role
- Basic knowledge of building systems (e.g., HVAC, electrical, plumbing) and workplace safety practices.
Preferred Qualifications:
- Proficiency in Microsoft Office Suite and familiarity with basic facility management software is a plus.
