Job Description:
The Administrative Assistant & Facilities Coordinator will ensure the smooth operation of the firm's facilities, coordinate services, manage vendor relationships, and support internal teams with day-to-day logistics and administrative needs. This role requires a proactive and detail-oriented individual with excellent communication skills.
Key Responsibilities:
- Assist in the administration and management of vendor contracts
- Ensure vendor compliance with service-level agreements and standards
- Build and maintain positive relationships with external service providers
- Provide logistical support for onsite events, including room setup, catering, and cleanup
- Greet guests and internal staff professionally
- Manage office calendars and schedule appointments
- Assist with desk setups and arrangements for new hires, moves, and exits
- Oversee daily facility operations such as maintenance and repairs
- Monitor work orders to ensure timely and effective resolution
- Implement tracking systems for facilities-related tasks
Qualifications:
- 3-5 years of experience in facilities coordination or a related role
- Ability to work on-site 5 days a week
- Proficiency in Microsoft Office
- Strong organizational and multitasking skills
- Excellent interpersonal and communication abilities
- Knowledge of safety and environmental regulations
- Experience with facility management software and tools
- Ability to work both independently and collaboratively
