Description

Position Summary

Sibcy Cline Relocation Services is looking to hire an Expense Analyst, who will work at our corporate office in Cincinnati. The Expense Analyst works closely with relocation counselors, clients, and transferees by tracking expenses and reporting monthly relocation costs associated with a transferee's move while maintaining knowledge of client's policy. This role is responsible for recommending and implementing workflow, process and system improvements that drive efficiencies for the financial operations of Sibcy Cline Relocation Services.

Essential Functions
  • Review expense reimbursement reports submitted by transfereeswithin 2 days of receiving by verifying documentation to approve expenses and processing payments based on specific relocation policy
  • Communicatewith client accounting and payroll departmentsto process expenses and calculate gross-up based on transferee salary and client benefitsper each client's payroll schedule
  • Work closely with Sibcy Cline's accounting team, which serves as a shared center of excellence across all business units, to drive systems, processes and best practices improvements
  • Order inspections and appraisals for home sales within 1 business day of request and request payments to vendors for services
  • Review vendor invoices and process payments within 2 business days, invoice clients and calculate interest to clients as needed
  • Prepare and process final billing and referral fees for home sales and purchases by verifying expenses within 5 business days of receiving final signed documents
  • Prepare monthly reports and distribute reports to clients and corporate relocation team
  • Lead year-end expense reporting process by auditing expenses and preparing, coordinating and disbursing Relocation Tax Reports (RTR) to clients and/or individual transferees by the end of January each year
  • Process lump sum payments for payment to transferees by submitting to client for payment or requesting payment directly to transferee and tracking in the relocation database within 1 business day of receiving from counselors
  • Coordinate payback agreementsby calculating repayment amount, notifying transferee of legal obligation and securing debt payable to clientas requested by clients
  • Maintain documentation of daily tasks and proceduresfor accurate and detailed recordkeeping for clients, transferees, and other partner service providers
  • Serve as backup for the Corporate Billing Administrator
Qualifications

Skills, Knowledge and Abilities
  • Detail oriented to ensure all expense amounts are accurate and current in the database system
  • Time management skills to prioritize work to meet each client's schedule and expectations
  • Basic math skills of percent, addition, multiplication, and subtraction
  • Customer service skills handling client and transferee's questions, often in difficult or tense situations
  • Written and verbal communications skills with clients, transferees and other service providers
  • Multitask to provide a variety of services to multiple clients and team members each day
  • Ability to work in a team and build relationships with clients, transferees, and other service providers
  • Some college or associate degree necessary
  • Microsoft Office, specifically Excel, Outlook, Word and Teams, necessary
  • Experience working with a database is necessary
  • Knowledge of the relocation process and tax implications of expenses preferred
  • Basic accounting and auditing experience preferred

This position requires employees to be in frequent communication with clients. Additionally, employees need to maintain a high level of organization and attention to detail regarding expenses of relocations to provide accurate reports of information to various parties.
