This unique opportunity combines the responsibilities of an Executive Administrative Assistant with the talents of an Executive Support Specialist. The ideal candidate demonstrates the ability to adapt daily with the needs of the CEO. This position combines the need for office work, with the expectation to travel to various California locations (occasionally out of state). Our growing company also needs someone who is willing to learn acquisition of new properties, launching new sites and helping organize timelines for opening these new facilities. Duties and Responsibilities:
Executive Support Specialist/ Executive Administrative Assistant to the CEO is required to demonstrate an understanding of State and Local regulations pertaining to the operation of Sierra Health & Wellness. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. The Executive Assistant to the CEO must maintain professionalism while answering phones, providing information to callers, taking messages or transferring calls to appropriate individuals. This role demands a strong sense of urgency and the ability to work independently on assignments with sound judgment. Traveling to various locations is expected, primarily throughout Northern California and part of Nevada. The incumbent will use initiative to problem solve and handle multiple priorities in accordance with timelines.

Essential Functions:

  • Assist the CEO with launching new locations, including organizing inspections with various County and State representatives, assisting with research for purchasing of properties, organizing meetings with the teams working on launch etc.
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications as needed.
  • Maintaining comprehensive and accurate corporate records, documents, and reports.
  • Performing minor accounting and bookkeeping duties.
  • Answering incoming phone calls for the executive team in a polite and professional manner while accurately taking messages.
  • Managing the CEO's day-to-day calendar, including making appointments and managing time effectively.
  • Coordinating travel arrangements (both domestic and international) and creating trip itineraries.
  • Using various software, including word processing, and spreadsheets, to prepare reports and/or special projects.
  • Coordinating logistics of CEO level meetings, internally and externally.
  • Preparing internal and external corporate documents.
  • Coordinating with other departments to collect and distribute information.
  • Other duties as assigned.

Requirements
  • High School diploma or GED.
  • Three to five years of experience in an administrative role.
  • One year experience as an Executive Assistant.
  • Familiar with HIPAA/client confidentiality and personal rights.
  • Possess CPR/First Aid certification.
  • Current TB test and health screen.
  • Valid drivers license.
Preferred education and experience:
  • Associate degree or bachelor's degree from an accredited university in Business or a related field.
  • Preferred experience reading blueprints and purchasing of business properties.
  • Project management.

Salary: $75,000 -$105,000

The posted pay range is a reasonable estimate that the organization believes in good faith it may pay for this particular job based on the circumstances at the time of posting.
