Our client is seeking a highly resourceful, proactive, and organized Executive Support Associate to provide essential support to their CEO, who leads their sales and marketing efforts. This role requires a blend of high-level executive assistance and administrative coordination in a fast-paced environment. The ideal candidate will be proactive, adaptable, and skilled at managing multiple tasks, ensuring the smooth operation of the executive office and key projects.

Location: Bellevue, WA (Hybrid) 1-2 days in office
Role Type: Contract to Hire

Key Responsibilities:
Executive Support
  • Manage and prioritize the CEO's calendar, including meetings, appointments, and travel.
  • Handle email and phone communication, ensuring timely and professional responses.
  • Draft, edit, and format reports, correspondence, and presentations.
  • Organize and maintain both electronic and physical filing systems.
  • Prepare agendas, capture meeting takeaways, and follow up on action items.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Serve as a liaison between the CEO and internal teams for seamless communication.
Sales Administration
  • Maintain up-to-date sales pipeline data within the CRM system.
  • Generate reports to support sales planning and decision-making.
  • Assist with client background research to support business development.
  • Provide data-driven support to ensure smooth lead progression.
Marketing Administration
  • Maintain marketing contact databases for outreach and communication efforts.
  • Assist with organizing internal and external events and campaigns.
  • Support the marketing team and CEO with administrative tasks, content distribution, and marketing initiatives.
Required Skills & Abilities:
  • Exceptional written and verbal communication skills.
  • Strong organizational skills, with attention to detail and time management expertise.
  • Proactive, able to take initiative and manage multiple priorities.
  • Proficient with Microsoft Office and CRM platforms (HubSpot, Salesforce, or similar).
  • Experience supporting senior executives, especially in fast-paced or evolving environments.
  • Strong data handling skills and a proactive approach to reporting and process improvements.
  • High level of discretion and professionalism.
Education & Experience:
  • 3-5 years of experience supporting senior executives.
  • Additional experience in sales and/or marketing administration is a plus.
  • Proven ability to manage cross-functional responsibilities in high-accountability environments.

Estimated Compensation Range: $31.00-38.00 per hour. This range represents the estimated low end and high end of the compensation range for this position. All experience levels considered.
