Secretary to The Super Intendent and Asst. Super Intendent

Position Purpose
Under general supervision, act as confidential secretary to the Super Intendent and Asst. Super Intendent and the Board of School Trustees; assists by relieving them of clerical and administrative details; and performs a wide variety of responsible secretarial work. Serves as a positive public relations advocate for the school district, including dissemation of school information.

Essential Functions
  • Prepares advanced packets for Board Meetings, attends public Board Meetings, and maintains official minutes and substantiating documentation for meetings.
  • Acts as designated record secretary for the Board of School Trustees meetings. Takes Board meeting minutes in the evening.
  • Maintain confidentiality of all materials.
  • Answer telephone, take messages, greet applicants, ascertain nature of business, and give information to callers, visitors or route to supervisor.
  • Distributes agends/ paclets as nevessary to administrative team.
  • Maintains all student transfer requests, files forms, and types parent letters
  • Assist in answering receptionist's phone when needed.
  • Maintain regular and prompt attendance.
  • Maintain appropriate appearance.
  • Promote good public relations for the school corporation and community.
  • Remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the corporation.
  • Effectively complete other job tasks as assigned.
Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

Travel Requirements
Limited travel to and from meetings may be required.

  • Works in standard office and school building environments.
Qualification Profile
  • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Graduation from high school.
  • Associates degree with course work in business, math, word processing, office procedures and record keeping preferred.
  • Bachelor's degree preferred.
  • Shorthand or speed writing skills desirable.
  • Successful experience with office management preferred.
