The Executive Secretary to the Federal Programs Administrator and Student Enrollment provides high-level administrative support to the Administrator, ensuring efficient operation of federal program initiatives and student enrollment processes. This position requires a detail-oriented, organized, and dependable individual who can manage sensitive information with discretion and professionalism.
Essential Duties and Responsibilities:
  • Provide administrative clerical support to the Federal Programs Office
  • Knowledge of public education operations and board governance procedures is a plus.
  • Support district enrollment processes, including reviewing enrollment forms and communicating with families
  • Coordinate public communications and information regarding enrollment timelines, documentation requirements and policies
  • Maintain and organize confidential records and reports
  • Process purchase orders as directed by supervisor and order merchandise
  • Assist in planning and coordinating district events, public meetings, and special projects.
  • Research and compile information for reports and presentations.
  • Process and track incoming and outgoing correspondence, ensuring timely responses.
  • Handle inquiries and complaints, providing accurate information or directing concerns to the appropriate department.
  • Manage the Administrator's calendar, scheduling meetings, appointments, and travel arrangements.
  • Maintain a high level of discretion and confidentiality in handling sensitive matters.

Knowledge, Skills, and Abilities:
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Google applications and other office technology.Excellent written and verbal communication skills.
  • Knowledge of Federal Education Programs (e.g. Title I, Title II, etc.) a plus
  • Ability to manage multiple priorities and work efficiently under pressure.
  • Strong organizational and problem-solving abilities.
  • Professional demeanor and the ability to work effectively with diverse stakeholders.
  • High degree of discretion, integrity, and confidentiality.
