We are seeking an experienced and polished Executive Personal Assistant to support a High Net Worth Individual in New York City. This role will report directly to the Chief of Staff and work alongside a team of assistants. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment while maintaining discretion and professionalism.
Key Responsibilities
- Calendar & Scheduling: Oversee a constantly changing and detailed calendar, ensuring seamless coordination of appointments, meetings, and events.
- Travel Coordination: Manage complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
- Project Management: Manage home improvement projects and ongoing maintenance at the principal's primary residence in Soho and a smaller guest property.
- Household Management: Restock and organize residences, coordinate with vendors and contractors, and set up homes for arrivals.
- Administrative Support: Create and manage spreadsheets, maintain records, troubleshoot basic tech issues, and assist with research and planning.
- Event Support: Attend events as needed (including weekends on a quarterly basis), assist with inventory management, and ensure smooth event logistics.
- Personal Tasks: Handle errands, personal shopping, and day-to-day personal tasks with discretion and efficiency.
- Meeting Assistance: Attend meetings, take detailed notes, and follow up on action items.
- General Support: Provide day-to-day assistance to the Chief of Staff and principal, ensuring all tasks are executed with speed and precision.
Requirements
- Minimum of 5 years of experience in a similar Executive or Personal Assistant role, ideally supporting an HNW or UHNW individual.
- Strong project management skills and ability to take ownership and follow through on tasks.
- Exceptional organizational and multitasking abilities with strong attention to detail.
- Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.
- Excellent communication and interpersonal skills; ability to work effectively with high-profile individuals, vendors, and staff.
- Flexibility to adapt to changing priorities and work in a hybrid environment (remote and in-person as required).
- Ability to work independently and proactively while maintaining confidentiality and discretion.
- Willingness to travel as needed.
Compensation
Salary: Up to $120,000
