A prominent executive at a well-respected venture capital firm is seeking an experienced Executive Personal Assistant to provide exceptional one-on-one support for both business and personal needs. This individual will manage a demanding schedule, handle global travel logistics, coordinate events, oversee house management, and perform various other tasks while collaborating seamlessly with the executive team.

This is a hybrid role with 3 days in-office based in San Francisco.

Responsibilities:
  • Manage complex calendars, including scheduling meetings and organizing daily activities for the executive.
  • Handle a high volume of emails, drafting responses and prioritizing tasks to ensure timely execution.
  • Identify and implement strategies to enhance workflow efficiency, utilizing new tech tools and AI systems as needed.
  • Maintain a strong organizational system for managing both personal and business tasks; support the managing partner with daily operations and project management.
  • Coordinate detailed domestic and international travel, including flights, hotels, ground transportation, and itinerary preparation.
  • Prepare and organize materials, agendas, and presentations for meetings, ensuring the executive is thoroughly prepared.
  • Handle administrative tasks such as drafting correspondence, processing expenses, and managing confidential information.
  • Maintain an organized digital filing system for easy access to important documents.
  • Assist with personal tasks for the executives, demonstrating discretion and attention to detail.
  • Support key project and event management, ensuring deadlines and goals are met.
  • Assist with ad-hoc tasks to help the team run efficiently and effectively.
Qualifications:
  • 5+ years of experience as an Executive Assistant, supporting senior executives within Venture Capital or Fintech.
  • Energetic and positive personality with a proactive, can-do attitude.
  • Excellent critical thinking and problem-solving abilities.
  • Self-motivated and proactive in managing priorities, with an exceptional ability to support the managing partner effectively.
  • Methodical and meticulous approach to work with strong organizational skills and attention to detail.
  • Exceptional written and verbal communication skills.
  • Proven ability to handle confidential information with professionalism and discretion.
  • Experience managing complex schedules and coordinating travel logistics.
  • Ability to adapt to shifting priorities and anticipate the executive's needs.
  • High level of professionalism and the ability to represent the firm in all interactions.
  • College degree preferred.
Salary:

$165K - $175K + discretionary bonus
